Job Description:
Administrative Assistant in Minoa, NY


Responsibilities include:

  • Independently carrying out organizational and administrative tasks, such as documentation and assisting with the preparation of various events
  • Booking activities using HIS-FSV (processing invoices, assisting with procurement processes)
  • Entering data into the internal inventory system of RRZE
  • Processing company credit card expenses
  • Assisting with the preparation and followup of business trips, as well as travel expense reports
  • Supporting financial management of budget resources and processing of thirdparty projects
  • Preparing employment contracts for student assistants

Required Qualifications:

  • High level of commitment and responsibility, as well as independent work style, organizational skills, and teamwork abilities
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint)
  • Excellent written and spoken German and English language skills
  • Professional and friendly demeanor
  • Strong analytical and communication skills (verbal and written)

Desired Qualifications:

  • Previous experience in university secretarial and administrative roles
  • Knowledge of thirdparty project management
  • Familiarity with university financial software (HIS-FSV)
  • Experience with projectspecific online tools (e.g. profi Online)
  • Familiarity with WordPress for website maintenance
  • Knowledge of budget and travel expense regulations
