This position will be based out of either the Cove Haven Resort in Lakeville, PA or the Paradise Stream Resort in Cresco, PA.

Principal Responsibilities:


Sales Coordinator is responsible for the sales, service, planning, organization, communication and overall executive of weddings, elopements, vow renewals, proposals and catered events.

The ability to qualify and analyze the needs and expectations of the client is imperative while maximizing revenue for the resorts.

Clear communication of the client's expectations must be communicated to each internal department in the form of accurate and complete Banquet Event Orders.


Essential Functions:


  • Develop a full working knowledge of the operations of the hotel, including Food and Beverage, Guest Services and Reservations.
  • Develop a complete knowledge of company sales policies and SOP's, and ensure knowledge of and adherence to those policies by the sales team.
  • Accepts all requests for proposals (RFPs) and pursues all leads for elopements, weddings, vow renewals, proposals and catering business, including responding to inquiries and executing proposals and contracts within a 24hour period.
  • Present, negotiate and successfully sell lodging, food and beverage, and activities/products/programs.
  • Develop and distribute all communications relating to planning and execution of functions, including, but not limited to banquet event orders (BEO's) and room sets according to established guidelines
  • Convert prospective clientele into committed customers through onsite visits/meetings, trade shows, property tours, and proactive communication.
  • Maintain positive and productive relationships with internal departments and operations, including, but not limited to: front desk, reservations, food and beverage, event coordination, housekeeping, and activities.
  • Possess current, uptodate knowledge pertaining to all Cove Pocono Resorts sales products, pricing, and strategies.
  • Onsite for all events that have been planned and assist client and vendors as needed.
  • Maintain a high level of customer service with guests and employees.
  • Conducts outbound sales initiatives as outlined by the Sales Director to educate target markets on the features/benefits of Cove Pocono Resorts and move them into prospects—and customers.
  • Meet or exceed set revenue goals.
  • Operate the within established sales expense budget.
  • Maintain and participate in an active sales solicitation program.
  • Respond to guest complaints in a timely manner.
  • Keep immediate manager fully informed of all problems or matters requiring his/her attention.
  • Work with F&B managers and keep them informed of F&B issues as they arise.
  • Interact with outside planners, vendors for event setup.
  • Conduct a professional, thorough site inspection of the hotel with clients, exhibiting key features and benefits of the property.
  • Use computerized sales management system to manage the hotel's business, including (but not limited to) generating reports, entering business, blocking space and building accounts.
  • Meet and greet onsite contacts.
  • Develop networking opportunities through active participation in community and professional associations, activities and events.
  • Review meeting planner evaluations with the Director of Sales to ensure that issues receive followup
  • Attend all hotel required meetings and trainings.

Supportive Functions:


In addition to the performance of the essential functions, this position maybe required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the particular requirements of the company.

  • Assist in implementing special promotions relating to direct sales segments, i.e. parties, sales blitzes, etc.
  • Assist in the preparation of required reports in a timely manner.
  • Assist in the selling/planning of others groups as needed and directed by the Director of Sales
  • Complete other duties as assigned by supervisor to include departmental cross training
The Sales Coordinator Reports directly to The Director of Sales & Marketing.


Requirements:


Education
High School Diploma or equivalent.


Experience
Three to Five years of secretarial experience.


Licenses or Certificates
No special licenses required. CPR certification and/or first aid training preferred.


Grooming
All team members must maintain a neat, clean and well-groomed appearance (specific standards available).
