POSITION STATEMENT:

The Program Assistant facilitates the efficient operation of the program by performing a variety of clerical and administrative tasks supporting the needs of the program.

RESPONSIBILITIES OF THE JOB AND ESSENTIAL ELEMENTS:


  • Direct Duties:The Program Assistant will be responsible for the following:
  • Greet clients in a caring, friendly, and welcoming manner at each interaction, whether it be in person or via telephone.
  • Verify patient demographics and insurance information at point of service.
  • Determine, document, and collect copayments from clients at point of service, along with any other fees that may be owed.
  • Complete all consents for incoming clients upon arrival.
  • Complete the Intake Spreadsheet for each new client on their day of arrival and forward this document to the MOA daily.
  • Schedule clients with clinicians and providers when appropriate and monitor provider's schedules.
  • Track incoming patients in Methasoft for dosing.
  • Answer phones in a friendly and professional manner, identifying oneself to the caller upon answering the call; retrieve and respond to phone messages in a timely manner, to include notifying clinicians and providers of calls regarding their clients needs.
  • Schedule and conduct drug screens according to regulations and program requirements.
  • Upload documents into confidential patient charts.
  • Create charts through POE for new admissions.
  • Create continuing numerical issues of patient files as needed; retrieve charts for returning patients.
  • During Intakes, coordinate with Intake Team to direct patients to appropriate staff and monitor patient behavior and condition.
  • Supply signin sheets for staff meetings and trainings.
  • Distributes necessary information to patients. i.e., handbook.
  • Interact with patients in a professional manner.
  • Other duties as assigned by supervisor.

Other Responsibilities:


  • Displays a competent knowledge of Agency policy and procedures as well as Federal and State Regulations. Keeps current with available resources.
  • Encourages staff/clients while demonstrating selfinitiative in problem solving.
  • Assist in the development of data collection and analysis of the quality improvement projects.
  • Maintains confidentiality, proper boundaries and an ethical relationship with clients and coworkers accordingly to Company's policies and as their Delaware Professional Board regulations.
  • Ensures all client records are maintained according to agency standards, policies and procedures.
  • Engages in professional development. Responsible for keeping current in the field. Completes seminars and/or continuing education programs, as appropriate to update knowledge about addiction and mental health services.
  • Ensure client's file documentation and other reports are up to date.
  • Completes annual educational program as required.
  • Participates in the development of quality improvement activities designed to enhance agency and program services.
  • Engages in professional development. Responsible for keeping current in the field by attending agency trainings.
  • Performs other duties as discussed and agreed upon.

MINIMUM EDUCATION AND EXPERIENCE QUALIFICATION REQUIREMENTS:

  • High School Diploma or GED
  • Minimum one years' experience working with Substance Abuse and/or Behavioral Health clients.
  • CPR Certification

  • Maintain and abides by OSHA requirements and guidelines.

  • Observes all Agency's Policies and Procedures
  • Observes all DE DOH-DHSS, CARF and DSAMH Regulations.
  • Observes all HIPAA Policies and Procedures and maintains confidentiality.
  • Completes and returns all paperwork distributed by the Human Resource Department
  • Attends all required and scheduled trainings and meetings.
  • Always maintain a professional demeanor and exercise good professional judgment in all areas of employment duties
  • Documents time worked accurately.

  • Telephone, cellular telephone, copier, fax, computer, calculator
  • COMPUTER SOFTWARE APPLICATIONS:
  • Computer literacy in MS Office products; Word, Excel, Outlook, Power Point.
  • Agency Electronic Medical Record and other software programs
