Main Purpose of Job:

The purpose of this position is to perform a variety of administrative, secretarial, and clerical duties of the Branch - facilitating management details for the Branch Chief and Section Chiefs of the Interagency Collaboration Branch.

This individual must demonstrate good public relations skills and possess competencies in organization, data collection, and communication (verbal and written).


POSITION DUTIES:


  • Secure venues for meetings and trainings. Implements duplication, assembly, and presentation of materials for attendees.
  • Manages collection and review of timereporting documents for staff, consultants, and contractors.
  • Conducts research on related topics involving special education services, waivers, interagency collaboration.
  • Responsible for working independently on clerical tasks, following oral and written instructions containing technical and numerical content.
  • Answers phone inquiries from local education agencies, special education directors, public agencies and parents, Autism Waiver Providers, Service Coordinators, Medical Assistance Providers, and other partners.
  • Conveys messages to supervisors requiring their specific attention. Exercises discretion regarding what information may be released or must be referred to a supervisor while maintaining a high degree of discretion at all times in the securing and releasing of information.
  • Contributes to maintaining database for the Autism Waiver, and associated information data systems including the Individual Plan of Care.
  • Independently initiates referrals to staff Specialists from parents and provides technical assistance in a customer friendly and efficient manner. Expedites a response to any high priority inquiry.
  • Arrange travel and itinerary for meetings, conferences and other functions as requested by supervisor and staff. Proof and process, leave requests, invoices, purchase orders, expense reimbursements, credit card reconciliation, etc. Prepare outofstate travel requests.
  • Develops and maintains a database of frequently used contact information for individuals and pertinent outside agencies for use by the Branch.
  • Maintains mailing lists and directories for Section staff, local education agency personnel, committees and groups that relate to the work of the Branch.

MINIMUM QUALIFICATIONS:


Education:
Graduation from an accredited high school or possession of a high school equivalency certificate.


Experience:
Four years performing secretarial work or clerical work involving typing duties.


Notes:


  • Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.
  • Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

DESIRED OR PREFERRED QUALIFICATIONS:


  • Experience with Microsoft Suite, Google Suite, and SmartSheets
  • Experience with document management (filing, scanning, cataloging)
  • Data management experience
  • One year of experience with Call Center Customer Service

SPECIAL REQUIREMENTS:

Demonstrated ability to accurately type on a keyboard on a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
