Description

The
Intake Coordinator is responsible for managing the Intake Department for the Recovery Services Division, which consists of 6 Recovery Homes.

This includes processing referrals for our substance use programs, as well as screening and admitting clients in the Recovery Services Division in compliance with agency standards and contractual requirements.

The
Intake Coordinator reports to the Director of Recovery Services or their designee for supervision.


Essential Functions:


  • Act in accordance with Victory Programs Standards of Excellence & Philosophy Care, including maintaining professional ethics, boundaries, and client confidentiality, and working from a strengthbased perspective using evidence based practices.
  • Maintain accurate documentation and record keeping systems, including but not limited to: referral database, referral paperwork, waitlist, and master logs by utilizing electronic health records.
  • Track intake department data and provide weekly, monthly or as needed reports.
  • Travel to VPI programs as needed to meet with clients and conduct intake procedures.
  • Supervise Intake department staff as needed, including but not limited to Assistant Intake Coordinator and Intake Receptionist.
  • Coordinate and oversee all day to day operations of the Intake department.
  • Optimize the utilization of program resources by maintaining high occupancy rates across all programs.
  • Coordinate and/or provide direct quality orientation services to clients.
  • Ensure that clients are clinically appropriate for the Health Program and make decisions about pairing client to program that would best support the client.
  • Work closely with the Recovery Division program staff to coordinate admissions and ensure consistent communication.
  • Provide excellent customer service and communicate effectively to referring agencies and individuals.
  • Regularly engage in outreach and marketing activities to provide potential referral resources within the policies, procedures and mission of Victory Programs, Inc. and maintain database of referring agencies and organizations, and community resources.
  • Coordinate care with prospective clients and new intakes, including but not limited to linking them to healthcare providers, Medication Assisted Therapy providers (ie: Methadone, Suboxone, Vivitrol, etc.), behavioral health providers, pharmacy, etc.
  • Manage BSAS/Helpline waitlist.
  • Enter assessments in electronic health records.

Non-Essential Functions:


  • Participate and support the agency in program events, State House rallies, fundraising and advocacy events, rallies, walks and any additional functions.
  • Perform any other duty or task that may be requested from time to time by your supervisor or their designee.

Required Qualifications:


  • Demonstrated experience in mental health and/or substance use assessment requirements.
  • Bachelor's Degree or 3 years of human services experiences.
  • Strong computer skills, including typing skills, as well as the use of Microsoft Word and Excel
  • Ability to multitask.
  • Professional appearance and excellent telephone manner.
  • Strong written and verbal communications skills.
  • Strong attention to detail.
  • Strong management skills.
  • Current CPR certification (may be obtain through Victory Programs).

Preferred Qualifications:


  • Knowledge of mental health, psychotropic medications, and substance use.
  • Experience in the substance use treatment system in Boston.

Hours:
Monday - Friday 8am - 4pm or 9am - 5pm


Rate:
$56,283 annually
