Work Schedule:
Monday-Friday 8:00am-4:00pm

Vacation Time: 5 days after 6 months of employment/10 days after 1 year of employment

SUMMARY:
This position requires knowledge of Law Enforcement and clerical procedures. The individual has daily contact with the public.

Work involves performing various duties related to the office, that may include personnel files, preparing routine correspondence, compiling information for reports, maintaining files of a variety of records, documents and correspondence.

Employee must exercise independent judgement and initiative in completing assignments and keeping things running smoothly and with utmost discretion.


SUPERVISION RECEIVED
Works under the general supervision of the Sheriff, Chief Deputy, Jail Commander and Matron.


ESSENTIAL DUTIES AND RESPONSIBLITIES
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily


Duties include the following:

  • Computer entry and filing of citations, warnings, as well as Incident & Crash Reports.
  • Type letters/memos for administrative staff.
  • Requisition supplies as needed for the office.
  • Process Civil Papers to be served and complete returns to the Clerk's Office.
  • Process FOIA requests. Assist the Chief Deputy in compiling any and all information such as reports, photographs, body camera videos, etc. and send them to the requestor, generating invoices when necessary.
  • Manage Crash & Incident Photos and disseminate when requested.
  • Respond to phone inquiries in a professional manner obtaining enough correct information from caller to properly direct the call or handle if possible. Take complete and correct phone messages for the Sheriff, Chief Deputy or Jail Commander and see that they receive it in a timely manner.
  • Greet visitors in a pleasant and professional manner that have come to visit someone such as the Sheriff, Chief Deputy or Jail Commander. This sometimes requires handling irate individuals that have a complaint.
  • Processing of background checks, gun permits, and court ordered expungements.
  • Computer entry of newly issued warrants, distribution to respective agencies, and removing served warrants from the system.
  • Forwards reports and call logs to Department of Child Services and victim's advocate when necessary.
  • Log all sheriff's office employee work hours and benefit days on annual service records.
  • Log Inmate Packets and file them accordingly.
  • Makes revisions and additions to the Sheriff's Office Policy Manual accessible to all employees as implemented by the Sheriff of Chief Deputy.
  • Perform Notary duties as needed.
  • Forward computer generated Vehicle Tow Sheets to respective wrecker company.
  • Operate various office equipment, including computer terminals, printers, scanners, copy machine, telephone systems, and fax machines.
  • Access indigent inmate needs, complete orders, and track inventory.
  • Perform other related work as required.

EDUCATION and/or EXPERIENCE


Applicant must be 21 years of age or older, a high school diploma or equivalent is required, and secretarial training is desirable.

The individual should possess computer skills as well as a basic knowledge of clerical and law enforcement procedures and practices.


LANGUAGE SKILLS
Ability to read, write and comprehend the English language. Ability to effectively present information in one on one and small group situations to other employees of the office.


MATHEMATICAL SKILLS
Ability to add, subtract, multiply, divide and calculate percentages.
