Description

The Study at University of Chicago is currently seeking a
General Accountant, to process the hotel's accounts payable and receivables, travel agent and group booking commissions general cashiering tasks, and income auditing. Provide direction to the night audit team to ensure proper revenue reporting, design night audit reports for the audit of daily POS revenue and payment reconciliation. Ensure that all invoices are paid on a timely basis and all policies and procedures are followed. Prepare and issue billings and back up for functions booked by the Banquet and Sales Department. Support Controller and The Study Hotel Chicago team, manana the hotel's Accounting Department and provide the General Manager and Corporate Office with accurate, and relevant financial data to ensure the smooth operation of the property. This position is responsible for the administration of accounts payable, accounts receivable, general receivable, general cashiering, income auditing and general ledger functions.

Responsibilities

  • Prepare Daily Report
  • Review night audit reports for accuracy for POS balancing
  • Review manual postings and adjustments posted by front desk
  • Verify, complete, and deliver weekly tips and commissions reports to payroll
  • Maintain tax exempt backup
  • Record house account comps for month end entry
  • Create house accounts in HMS as necessary for promotional tracking
  • Prepare monthly gift card ledger reconciliation
  • Assist Controller with yearend auditor request for AP/AR Testing and documentation files
  • Issue guest refunds in POS/HMS as needed
  • Ensure that all billings go out in a timely manner and with supporting backup for all charges.
  • Audit charges posted to master accounts for accuracy
  • Audit City Ledger for proper billing information and complete backup
  • Audit Guest Ledger and communicate with Front Office Manager and Sales Department on open account collection
  • Review weekly billing instruction of group resume against group accounts for accuracy in billing.
  • Prepare monthend accounts receivable aging and delinquency status report
  • Perform credit inquires on pending direct bill accounts and review with Controller.
  • Handle correspondences and communication to customers regarding billing matters.
  • Assist Sales Department with group and catering billings as needed
  • Verify Travel Agent Request for commissions against guest stays and commissionable rates.
  • Verify monthly online travel agent bookings against PMS systems for accuracy prior to billing.
  • Complete daily deposits and weekly bank deposits
  • Issue and audit house banks quarterly
  • Complete Petty Cash reconciliations
  • Perform other duties assigned by management

Fundamentals

  • Education: A Bachelor's degree in finance, accounting or related field is preferred.
  • Experience: A minimum of 3 years in a similar role within the hospitality industry, with a proven advancement record and currently employed in a management position.
  • Skilled in the use of advanced, moderately complex, Property Management, Point of Sale, Accounting, and Time & Attendance Systems.
  • Strong proficiency with Microsoft Excel, Word, and Outlook.
  • Possess a thorough knowledge of accounting practices and procedures including the Uniform Systems of Accounts for the Hotel Industry.
  • Proficient with US, State, and Local tax regulations.
  • Excellent verbal and written interpersonal communication skills.
  • Strong organizational skills including follow up, time management, ability to multitask and manage multiple priorities in a fastpaced environment.
  • Ability to positively communicate and interact with all hotel departments, external vendors, and guests.
