About the Position


The primary functions of the Clinician Scheduling Coordinator are to create and troubleshoot monthly clinician service schedules, provide customer service, and serve as primary liaison between all of our contracted facilities, their staff members, and any GuideStar employees.

Success in this role requires excellent customer service skills. The ability to accurately manage a complex workload at a fast pace with strict attention to detail is critical.

Essential Job Responsibilities:


  • Coordinate and update clinician schedules daily as indicated by changes in facility or clinician status in an efficient and effective manner.
  • Work collaboratively with clinical leadership and Scheduling Manager Director of Clinical Logistics and Communications to draft monthly schedules.
  • Manage issues, concerns, and questions by outpatient facilities regarding Vanguard's services.
  • Work collaboratively with clinical leadership and Director of Clinical Logistics and Communications to draft monthly schedules.
  • Prompt Customer Service Representative style with professionalism in communication between clinicians and facilities.
  • Collaborate with Director of Clinical Scheduling & Logistics to regularly monitor new patient referrals and facility patient numbers, making changes to the schedule as necessary.
  • Pinpoint area(s) in need of coverage and coordinate coverage with department head.
  • Update contact database with nursing home contact information and provide changes to appropriate GuideStar personnel.
  • Report critical issues to clinical management and operations team as needed.
  • Assist with data entry of patient and facility documentation.
  • Perform other duties as assigned by supervisor.
