    Are you a polished, professional, and proactive individual looking to make a meaningful contribution to a reputable non-profit organization? Look no further This organization is seeking a dedicated Office Support Intern/Assistant to join their team for a three-month temporary assignment.

    As part of their administration services team, you will play a crucial role as the initial point of contact for members, clients, and business contacts. Your responsibilities will include providing exceptional customer service, assisting with administrative activities, and ensuring the smooth operation of our office.

    Compensation: $20/hr

    Availability: This is a part-time position with approximately 16 hours/week flexible hours. The ideal schedule is Mon - Fri 8 am - 12 pm, but this is flexible based on school schedule/availability.

    RESPONSIBILITIES

    • Welcome and assist on-site visitors, determining their needs and directing them to the appropriate personnel.
    • Maintain a professional and welcoming atmosphere for all guests, offering beverages and providing necessary information.
    • Monitor visitor access and issue passes when required to ensure safety.
    • Answer telephone calls, screen and direct them as necessary, and handle general inquiries about the organization.
    • Manage incoming and outgoing mail and shipments, ensuring timely processing and delivery.
    • Assist with maintenance and distribution of promotional items and ensure adequate supply inventory.
    • Monitor conference room schedules, identifies and resolves overlaps and duplicate bookings and ensures compliance of procedures.
    • Ensures personal work area, lobby, and conference rooms are neat and in order throughout the day.
    • Demonstrates professional image, attitude, and dress at all times.
    • Collects and places supply orders, ensuring timely receipt of orders. Maintains necessary inventory records as directed.
    • Monitors and places orders for general supply stock items as needed to ensure kitchen and office supplies are available in designated areas throughout the facility.
    • Provide administrative support to other departments as needed.

    QUALIFICATIONS

    • Customer service experience
    • Proficiency in Outlook required; Excel and Microsoft Suite proficiency preferred
    • Experience in catering meals (ordering and setup) and office supplies management (inventory and ordering) is a plus but not required
    • Demonstrated flexibility and ability to manage multiple priorities
    • Excellent time, space, and task management skills
    • Proactive nature with the ability to foresee and prevent problems
    • Strong communication skills, both oral and written
    • Team player attitude with a willingness to provide support to colleagues
    • Proficiency in using standard office equipment and adapting to new technology
    • Sound judgment and ability to make reasonable decisions independently
