  • The Rutgers Institute for Nicotine and Tobacco Studies (formerly Rutgers Center for Tobacco Studies) is undergoing dynamic and transformative growth. The Rutgers Institute for Nicotine and Tobacco Studies is one of the nation's leading tobacco focused research centers and its faculty have received over $50 million in extramural funding over the past two decades. The Institute's efforts are focused on their mission of reducing and ultimately eliminating, tobaccorelated morbidity and mortality.

Five Centers or Programs currently operate at the Institute including a Tobacco Center for Regulatory Science, the Center of Excellence for Rapid Surveillance of Tobacco, the Tobacco Dependence Program, a Tobacco Industry Marketing Program, and a Tobacco Control Law & Policy Resource Center.


Posting Summary

  • Rutgers is seeking a Coordinator, Faculty Personnel Administration for the Institute for Nicotine and Tobacco Studies, located in New Brunswick, NJ. The Coordinator, Faculty Personnel Administration Under the supervision of the Institute Director. This individual is responsible for supporting processes related to faculty hiring, terminations, evaluations, promotions, reappointments, 19, payroll matters, etc. Assists in the planning and maintenance of the Institute to provide the highest level of service. Ensures compliance with all procedures

Duties will include:

  • Responsible for coordinating and providing administrative and analytical services related to faculty affairs for the Office of he Director.
  • In collaboration with partner schools and departments, responsible to ensure accuracy for all transactions related to recruitment, reappointment and advancement of Institute faculty.
  • Serves as a liaison between the Institute and partner schools/departments and other administrative units such as Rutgers Health Faculty Affairs, and Human Resources, resolving problems and responding to inquiries that arise.
  • In collaboration with partner schools/department, facilitates compliance with all procedures and coordinates timely completion of all aspects of the hiring process and onboarding, including but not limited to any faculty actions e.g. new hires, voluntary faculty, changes in FTE, changes in title, administrative appointments, promotions, processing of Employment Eligibility Verification (I9), etc.
  • In collaboration with partner schools/departments, facilitates maintenance official personnel files for faculty.
  • Prepares correspondence on behalf of the Director, Deputy Director, or appointed designee; creates and maintains spreadsheets as required.
  • Coordinates with partner schools/departments in collecting all necessary documentation for hiring Faculty and ensures that information is forwarded to the appropriate department i.e. Academic Affairs, Fiscal Office, Human Resources, Risk & Claims Management and Payroll

    Minimum Education and Experience

Required Knowledge, Skills, and Abilities

  • Bachelor's Degree in Business Administration or related field, plus five (5) years of progressive professional level experience in the areas of higher education.
  • Equivalent education, experience and/or training may be substituted for the degree requirement.
  • Experience managing multiple projects with competing deadlines in a fast
- paced environment and preparing reports. Must demonstrate excellent oral and written communication skills. Ability to exercise discretion and independent judgement at all times is required.
