The primary function of the Parts and Service Coordinator is to handle all administrative duties to get the service orders opened and invoiced and to meet the parts needs of our customers.

Responsibilities:


  • Route customer complaints to the correct person.
  • Open service and work orders in the computer.
  • Process timecards.
  • Invoice service jobs.
  • Maintain PM System.
  • Type quotes for service and parts.
  • Keep accurate documentation for all work performed.
  • Prompt and accurate responses to parts availability inquiries at the counter, phone, and the service group.
  • Prompt and accurate ordering of forecasted and nonforecasted requirements for parts and service.
  • Processing parts work orders, invoicing, and credit memos in a timely manner.
  • Ensure that the parts arrive in a timely fashion according to urgency and timing of job completion.
  • Ensure accurate and timely invoicing to Customers
  • Work with supervisor to identify which items to stock, quantity needed, and storage location.
  • Pick and pack customer orders and returns to factory if Union Parts Technician is not available.
  • Assist with inventory control to include cycle counts.
  • Assist at the parts counter for parts required by customers.

Job Requirements:


  • Present a professional image in personal appearance, dress and preparation.


  • Great interpersonal skills

  • At all times display honestly, ethics, and integrity.
  • Strong knowledge of material handling parts and accessories.
  • Effective written and verbal communication skills.
  • Flexibility and adaptability to various tasks assigned.
  • Proficient computer skills including but not limited to MS Outlook, Excel, and Word
  • Good organizational skills.
  • Ability to operate a forklift or delivery vehicle in a safe manner.
  • Ability to work under pressure, to meet deadlines, and to work in a team environment.

Working Conditions:
Hours will be 7:00 a.m. - 3:30 p.m., Monday through Friday. Some overtime may be required. This is an hourly, non-exempt position.

License/Certification:

  • Driver's License (required)
