GREENMARKET ADMINISTRATIVE MANAGER (Full-time)

Position Summary


Reporting to the Director of Food Access & Agriculture (FAA), the Greenmarket Administrative Manager oversees Greenmarket staffing operations, provides administrative coordination, and supports fiscal and budget management for the FAA Department.

This role leads the recruitment, hiring, and onboarding of field staff and manages the staffing for more than 46 farmers markets operated by GrowNYC throughout the five boroughs of New York City.

In collaboration with the FAA Director and FAA leadership team, the Greenmarket Administrative Manager is responsible for accurate and timely financial administration to support the fiscally sound management of the departmental budget.

Greenmarket Administrative Manager Responsibilities (Include but are not limited to):


Staffing Administration and Management

  • Manage staffing for Greenmarket locations, including overseeing the required training, market schedules, market coverage, and overall Greenmarket staffing strategy.
  • Serve as the central point of contact for both the supervisory Greenmarket staff and field staff, including handling inquiries, scheduling meetings, and providing resources and support.
  • Serve as a liaison between the field staff and the Human Resources Department.
  • Review and approve Greenmarket field staff timesheets in coordination with Greenmarket supervisory staff.
  • Supervise the Greenmarket Hiring and Staffing Assistant, including overseeing workflow, individual work plan, annual performance appraisal, and professional development.
  • Assists management team with performance reviews and discipline processes.

Recruitment, Hiring, and Onboarding

  • Oversee all aspects of Greenmarket field staff's recruitment, hiring, and onboarding process.
  • Lead all aspects of the interview process, including scheduling interviews, preparing materials, and communicating with applicants and Greenmarket supervisory staff.
  • Coordinate with the Human Resources Department to finalize job offers and onboard new Greenmarket field staff.
  • Manage new Greenmarket field staff onboarding through coordinated efforts with Human Resources, IT, Greenmarket supervisory staff, and the Greenmarket Hiring & Staffing Assistant.
  • Organize and facilitate the departmental weekly hiring meeting with FAA supervisors and the Human Resources Department to coordinate and plan shortterm and longterm staffing needs.

Fiscal and Budget Management

  • Assist the FAA Director with departmental budget planning, management, and oversight.
  • Collaborate with the Assistant Comptroller to update and maintain budget documents on a monthly basis, ensuring that all data is accurate and uptodate.
  • Organize and facilitate the recurring program Profit & Loss budget meetings with the Assistant Comptroller, FAA Director, Assistant Directors, and Program Managers.
  • Coordinate payment of invoices, receipts, and reimbursements and ensure that expenses are properly coded and submitted for payment via NetSuite for the Approval Supervisor and Accounts Payable.
  • Manage vendor relationships to ensure timely invoicing and payment.
  • Create and maintain protocols for FAA staff to submit invoices and receipts for payment and reimbursements.
  • Work with the Greenmarket Operations Manager to create and monitor the Greenmarket staffing budget.
  • Coordinate and organize the yearly budget process for the FAA Director, Assistant Directors, and Program Managers, including convening meetings leading up to the new fiscal year.
  • Work closely with the FAA Director and Comptroller to analyze the budget regularly throughout the year, including identifying variances, planning for upcoming expenses, and suggesting changes as necessary to ensure that the budget remains on track.

Qualifications

  • Minimum of three (3) years of work experience in staffing management, operations, human resources, or program management, preferably in a publicfacing setting, e.g., retail, agricultural, restaurant, or culinary.
