We are seeking talented and motivated support staff to work with our attorneys in the State's law firm. The selected

of New York. The Attorney General serves the public interest of all New Yorkers in matters affecting their daily lives,

MINIMUM QUALIFICATIONS

Permanent appointment:
Reachable on the Department of Civil Service Eligible list for Administrative Assistant 2
(formerly Secretary 2) OR permanent or contingent permanent status as an Administrative Assistant 2 OR eligible to
transfer.


Provisional appointment:
Current NYS employee with one year of permanent service in a following title, may be

appointed on a provisional basis:
Examination Composition Assistant, Keyboard specialist 2, Keyboard Specialist 2
(Spanish Language), Keyboard Specialist 3, Law Department Document Specialist, Office Assistant 2 Keyboarding, Office
Assistant 2 Keyboarding (Spanish Language), Secretary 1/ Administrative Assistant 1, Secretary 1/Administrative
Assistant 1 (Spanish Language), or Senior Data Entry Machine Operator.
- immediately reachable on the eligible list resulting from the next holding of the exam.
DUTIES

  • Provide administrative and secretarial support for all attorneys in the Health Care Bureau (HCB).
  • Answer HCB's main phone line, handle inquiries, and distribute where appropriate.
  • Review, draft, and send internal or external correspondence based on verbal or written instructions; distribute where
- appropriate. This including handling online complaints and providing referrals where appropriate.
  • Enter and maintain data in case management system.
  • Schedule all aspects of meetings, appointments, depositions, and interviews.
  • Assist with copying and scanning. Maintains office filing systems hard copy and electronic. Also assist with
- assembling legal papers and creating binders.
  • Arrange for use of conference rooms. Clear visitors to the Bureau with security.
  • Process incoming and outgoing mail; coordinates internal and external deliveries.
  • Oversee office supply needs for the Bureau.
  • Ensure that office equipment is in working order.
  • Make travel arrangements and process travel vouchers for attorneys in the Bureau. Process purchase requests
- and handle reimbursements. Maintain all associated records.
  • Order court transcripts, submit vouchers and invoices for payment.
  • Assist with processing of old files for archiving.
Manually upload documents in the online recruitment system.

  • Assist with onboarding new employees re new workspace, computer, phone, ID badge, and new user accounts to
set up.

  • Assist with reviewing documents in response to FOIL requests.
  • Performs other duties as assigned.

HOURS
The agency's hours of operation are Monday through Friday, between 8:00 am and 5:30 pm (37.5 hours/week).
Scheduling determinations are dependent upon the needs of each Bureau and will be communicated during interviews.
