Overview:


We are seeking a highly motivated, emotionally intelligent, and experienced individual to join our team as a Patient Experience Coordinator.

As the Patient Experience Coordinator, you will play a crucial role in ensuring that our patients receive exceptional care and have a positive experience during their visit.

This may be either a full-time or part-time position with competitive pay and benefits.


Responsibilities:


  • Oversee the front desk operations and ensure smooth patient flow
  • Manage patient scheduling and appointment reminders
  • Provide excellent customer service to patients, addressing any inquiries or concerns
  • Verify and update insurance information and demographic information
  • Assist patients in navigation and setting up of patient portal
  • Collect payments at time of service, issue receipts and/or superbills
  • Collaborate with medical staff to optimize patient experience
  • Implement and enforce HIPAA guidelines to protect patient privacy

Front desk duties:

  • Greeting clients and visitors
  • Pretreatment screening and visit check in/out
  • Answering telephone calls, providing basic information about services, handling inquiries, etc.
  • Processing payments
  • Scheduling clinic visits
  • Completing administrative tasks required for clinical operations (process paperwork, obtain medical records, coordinate with outside providers, input and assign 'patient cases')
  • Be attentive to client needs (provide comfort measures, answer general questions, coordinate ride pickup)
  • Coordinate care with RN and Provider
  • Scheduling vendor activities
- water delivery, laundry pickup/drop off, biowaste pickup

  • Order office and medical supplies
  • Always providing positive, warm, and friendly customer service in all interactions

Patient Intake:

  • Registering new patients into EMR system
  • Running insurance benefits
  • Input copay and other payments due at time of service
  • Collect payment in advance, when appropriate (eg
- consultations, tele-health visits)

  • Complete prescreening questionnaire
  • Making sure patients have rides and watching them leave the office

Skills:


  • Proficient in medical terminology and medical receptionist duties
  • Experience with medical record systems a must, in particular Athena Health
  • Strong knowledge of phone systems and ability to handle high call volumes
  • Ability to organize and prioritize tasks effectively, and react calmly to difficult situations
  • Excellent interpersonal skills and ability to communicate effectively with patients, staff, and insurance providers
  • Detailoriented with strong organizational skills
  • Ability to multitask in a fastpaced environment while maintaining professionalism
  • Previous experience working in a mental healthcare environment, social work, or case management strongly desired
