Administrative Assistant (Full-Time)


The administrative assistant provides operational support to the director and/or department and may occasionally perform non-routine administrative tasks to support department operations.

The Human Resources / Operations Administrative Assistant supports the director in planning, organizing, and overseeing human resources and clinic operations for all Morning Star locations and may assist with other administrative tasks to support department operations.

All responsibilities are performed to promote the mission, vision, and core operational values of Morning Star Pregnancy Services.


Primary Responsibilities

  • Coordinates the efficient execution/logistics (organization, research, reporting, recordkeeping, evaluation, etc.) of office operations for a department. Ensures effective, accurate, and confidential recordkeeping (computer and hardcopy). Maintains and manages accurate records, logs, lists and files. Provides timely reports to assist in evaluating programs and initiatives and identifying problems in meeting objectives. Reviews and updates recordkeeping, report generation, and suggests office processes to best meet the needs of the department.
  • Research and Reports: Obtains, compiles, organizes, and formats information from sources inside and outside the organization. Compiles reports requiring significant understanding of a database (or other software) organization and query/report language and ability to change formats of forms and reports in database and spreadsheets. Requires judgment as to what information to include based on general guidelines provided, purpose, or use. Tracks specific statistics or information. Includes calculations and balancing or verification of statistics/information. Includes analysis of information.
  • Works cooperatively (with a servant heart) with other staff, including staff from other departments, contributing in word and action to an office work environment/ atmosphere supportive of MSPS mission, vision, and core values.

Primary Duties

Human resources management:


  • Manages employee timekeeping and processes timeoff requests
  • Works with payroll processor and other vendors to ensure correct employee compensation and benefits
  • Assists with recruitment and onboarding of new staff and volunteers
  • Maintains employee documentation, including access logs and contact lists
  • Maintains records of current clearances for all staff/volunteers. Ensures that all clearances remain up to date.
  • Ensures compliance with OSHA and other safety requirements

Administrative oversight of client services operations:

  • Generates and provides center reports as requested
  • Maintains current lab certificates and waivers

Other responsibilities:


  • Orders supplies for clinics and administrative needs
  • Maintains current and accurate operational manuals
  • Assists in community outreach and major fundraising events as requested
  • Performs other tasks as assigned by supervisor

Supervision (Received/Exercised)

Work performed independently with supervision available. Performs work under direction as to assignments and general methods of execution, with periodic review of assignments.

Expected to make routine decisions requiring analysis and interpretation regarding task completion that does not significantly impact other areas with limited guidance from the supervisor.

May oversee work of and assign work to volunteers.


Qualifications

  • Bachelor's degree or equivalent jobrelated experience, preferably in human resource management or related service field.
  • Respects confidentiality and privacy per applicable laws and regulations.
  • Complies with the policies and procedures of Morning Star Pregnancy Services.
  • Organizes and establishes priorities effectively.
  • Selfstarter with good judgment and integrity.
  • Analytical ability to participate in development of policy and procedures, formulate goals, resolve complex management situations, and evaluate staff needs and quality of client service.
  • Excellent oral and good written communication skills.
  • Excellent interpersonal skills to train and supervise volunteers, work with clients, and interact with the general public.
