Job summary

The Sr. Executive Staff Assistant provides comprehensive administrative, operational, and technical support to the Executive Officer and Shared Services Administration team.

This role is responsible for coordinating day-to-day activities, managing critical processes, ensuring seamless communication across multiple departments and organizational levels.

The ideal candidate will exercise sound judgment operate with a high degree of autonomy manage sensitive confidential information with discretion.

Responsibilities include providing administrative assistance to the Executive Officer scheduling calendar management correspondence travel arrangements meeting coordination drafting proofreading finalizing high-quality communications reports presentations acting as liaison between the Executive Officer staff external stakeholders ensuring timely accurate communication maintaining awareness of organizational priorities anticipating needs optimizing Executive Officers time focus coordinating overseeing department-wide administrative processes managing departmental systems document management platforms other tools facilitating information sharing collaboration supporting preparation business continuity plans budget planning ongoing cost tracking activities analyzing existing processes providing recommendations improving operational efficiency within Shared Services Administration assisting development business requirements functional specifications process documentation enhancing team workflows collaborating cross-departmental stakeholders data compilation reporting progress key initiatives planning scheduling managing logistics internal external meetings events special projects developing agendas preparing meeting materials documenting follow-up actions completed providing support executive-level presentations reports including those Board Directors leadership handling sensitive confidential information utmost discretion professionalism developing maintaining strong professional relationships internal external stakeholders upholding credibility reputation Executive Officers office serving resource backup other Executive Assistants needed
