As a member of the Events and Logistics team, the Travel and Event Coordinator is responsible for implementing travel and events related activities, with a particular focus on the coordination of in-person events, meetings and trainings, ensuring compliance with US Federal travel regulations and internal processes.

This person will also be responsible for booking domestic flights, ground transportation, hotel rooms, meeting and conference space, audio visual equipment, catering, and additional services as required.


Responsibilities

  • Plan and execute the logistics of events and travel from start to finish.
  • Book and manage staff travel
  • Implement staff travel arrangements (including airfare, lodging, and ground transportation) and logistics of SEWP projects.
  • Interact with our internal clients to ensure full customer satisfaction.
  • Manage travel budgets and ensures arrangements are within budget and federal travel guidance.
  • Initiate, approve, and execute payments to vendors and travelers.
  • Maintain and reconcile company issued credit cards
  • Ensure compliance with US government regulations, funder requirements, internal policies and procedures and follows best practices

QUALIFICATIONS/REQUIREMENTS

  • High School diploma required; Bachelor's Degree (preferred)
  • Minimum of three years of relevant work experience in arranging domestic travel
  • Experience with meetings and/or professional events/catering coordination
  • Experience working with Concur Travel & Expense preferred
  • Minimum of oneyear work experience planning government travel preferred
  • Strong customer service expertise and focus, with attention to detail
  • Understanding of US federal travel regulations preferred
  • Ability to effectively and independently prioritize tasks
  • Strong Microsoft Office skills (Teams, Excel, PowerPoint, and 365)
  • Intermediate to advanced Excel skills
  • Proficient in simultaneously managing and monitoring multiple projects
  • Skilled in collaborating within a team environment
  • Experience coordinating with hotel/event venues
  • Exceptional organizational skills
  • Clear and concise written and oral communication
  • Expertise in Webex scheduling and management preferred
  • Accustomed to operating effectively in dynamic environments with competing priorities
