BASIC
FUNCTION:

Coordinate financial and personnel administrative activities within the Graduate School of Oceanography (GSO; assist the GSO Dean and Business Manager, NBC/GSO in defining and implementing GSO program goals, policies, and procedures; coordinate financial and personnel administration with other University units.
Duties and Responsibilities

ESSENTIAL
DUTIES
AND

RESPONSIBILITIES:


Coordinate submission of all personnel-related documents, including reviewing for accuracy all documents prepared by various support staff within the GSO; mentor support staff as needed to ensure conformance to the University's procedural requirements.


  • Coordinate compilation of financial and personnel reports and databases for use by the GSO Dean and Business Manager, NBC/GSO.
  • Assist with document review and budget approval of procurement and expenditure transactions charging all state, overhead, rate, and other nonfund 500 chart field strings (CFSs) within GSO's administrative structure (including funds held by the URI Foundation & Alumni engagement office on GSO's behalf).
  • Coordinate the financial aspects of the various GSO service centers, including submission of usage billings and annual rate calculations, and review of revenue and expenses to keep within their budgets.
  • Work with the GSO's deans, directors, and managers on strategic and financial planning and revenue projections.
  • Assist the Business Manager, NBC/GSO with interpreting and providing advice regarding budget, accounting, and personnel policies and procedures to faculty, staff, and students.
  • Serve on various NBC/GSO and URI committees as required and/or requested.

RESPONSIBILITIES:

Serve as custodian for the NBC/GSO petty cash fund, including coordination of disbursement of petty cash reimbursements.

  • Coordinate receipt and distribution of Purchase and Travel Cards received from the URI Controller's Office for GSO faculty and staff.
  • Perform other related duties as assigned.

Personal computers, printers; word processing, database management and spreadsheet software. Microsoft Office Suite.
Required Qualifications

REQUIRED:


  • 1. Bachelor's degree in business or public administration or related field.
  • 2. Minimum of four years of increasingly responsible professional experience in business/administrative logístical support.
  • 3. Demonstrated strong verbal and interpersonal communication skills.
  • 4. Demonstrated proficiency in written communication skills.
  • 5. Demonstrated knowledge of budgetary processes and analyses.
  • 6. Demonstrated administrative and organizational skills.
  • 7. Demonstrated ability to both work independently and be a team player.
  • 8. Demonstrated ability to balance multiple priorities in a deadlinedriven environment.
  • 9. Demonstrated experience in use of computer spreadsheet, database, and word processing programs.
  • 10. Demonstrated ability to work with diverse groups/populations.
    Preferred Qualifications

PREFERRED:


  • Minimum of five years of increasingly responsible professional experience in complex business/administrative logístical support in a university, college, government, or similar setting.
