    Position Summary and Duties

    The Clinical Systems Specialist is responsible for the implementation, maintenance, and support of all educational and clinical applications including the electronic health record within an interdisciplinary health clinic.

    This position supports Loyola Clinical Centers operations and ensures continuity and appropriate use of these systems.
    System Use and Documentation
    Actively participates in new staff, student, and faculty on-boarding activities and use of applications. Functions as mentor when leading and/or supporting technology or operations project activities.
    Coordinates the development of user and application support documentation, knowledgebase, and training plans to facilitate optimal use of applications. Facilitates and develops updates to support documentation in designated documentation repositories. Ensures support documentation is consistent with service line processes.

    Contributes to the achievement of established department goals and objectives and adheres to university and department policies, procedures, quality standards, and safety standards.

    Complies with governmental and accreditation regulations.

    Documents current technology processes and revises or develops new processes to provide optimal benefit to the organization in terms of increased efficiency, accuracy, and effectiveness.

    Coordinates the development of department policies and procedures required to implement standardized operational processes.
    Plans the development and execution of educator/trainer courses of core system/application functionality.

    Operations Administration & Reporting

    As appropriate for clinical centers applications and with university supports, performs duties required to back up and/or monitor application assets to ensure continuity in service.

    Provide day to day training and support for staff, faculty, and students for all technology applications and operations.
    Manage staff, faculty, and student privileges per standard protocols and policy.
    Monitors and tests the ongoing production performance to assure appropriate operations in terms of response time and storage capacity. Monitors faculty, staff, and graduate student use of applications to determine if application features are being used appropriately. Recommends operational changes as appropriate.
    With university support, coordinates and conducts the testing of software updates/fixes and routine maintenance. Validates that systems operate and perform properly through controlled unit, system, integration, and volume testing.

    Serves as Clinical Center data steward, responsible for: data integrity, access, security, standardization, and defining best practices for managing data within Clinical Center applications and databases.

    Develops reports to meet clinical reporting needs. Assists and guides users in analyzing data and displaying data in meaningful ways.
    Implements improvements, enhancements, updates, and modifications to applications.
    Manages application tasks and/or projects. Completes and/or manages special projects. Responsible for developing and maintaining project documentation according to university standards.
    Manages problem analysis in support of decisions and planning in consultation with executive director. Develops solutions to meet project objectives. Manages resources and problem resolution.
    Primary Liaison to Enterprise Applications, Technology Services, and IT Vendors
    Serves as liaison between application and technical IT groups, and user communities.

    With university/OTS support, coordinates all inventory, lifecycle management, purchasing and upgrades of technology with the enterprise-wide Technology Services department as appropriate.

    Coordinates and manages vendor resources in the implementation of new software, and/or application upgrades and enhancements.
    Provides facilitation and coordination of training plans to ensure that appropriate resources are cross trained in clinical applications.
    Collaborates on planned system growth to support resource planning and proposal development.
    Attends Technology Services regular and ad hoc meetings as requested to support ongoing communication and collaboration.
    Coordinates vendors and team members in troubleshooting problems and resolving issues.

    Required Qualifications


    EDUCATION:
    Bachelor's degree in business, teaching/clinical field, communication, or information systems


    EXPERIENCE:
    3-5 years' experience in a relevant academic, healthcare or business environment preferred.
    Experience with customer service, teaching/training, and information systems support.
    Experience overseeing systems operations.
    Experience training end users on in-house applications.
    Basic computer, mobile device, and networking support and troubleshooting skills.
    Understanding of technical systems and their impact to customers.
    Strong interpersonal communication skills to effectively interface with internal/external customers.
    Extraordinary customer service skills, ability to multitask, and excellent written and oral communication skills.

    Preferred Qualifications
    Experience in operations and project management.
    Experience extracting and managing data via relational and non-relational databases via various reporting tools. Experience with visualizing data in concise, meaningful and understandable ways, and familiar with best practices related to data visualization.
    Knowledge of Electronic Health Records' (EHR) systems preferred.
