Job Summary:
We are seeking a skilled Fleet and Maintenance Administrator to join our team.

The Fleet and Maintenance Administrator will be responsible for performing various fundamental and technical tasks to help with shop operations and equipment repairs.


DUTIES AND RESPONSIBILITIES:


  • Keeps, updates, & maintains shop office and personnel records including time sheets, payroll, and attendance.
  • Updates and maintains records of materials, supplies, and equipment used by the shop.
  • Prepares and compiles reports on material and equipment usage and job costs.
  • Keeps records of operation and maintenance costs for shop vehicles and equipment.
  • Maintains inventory of equipment parts and schedules maintenance and repair of equipment.
  • Prepares and processes requisitions for materials and supplies, orders & receives parts.
  • Receives, logs, and responds to telephone inquiries, complaints, and requests for service.
  • Assist with tracking shop organization including equipment, tools, supplies, and parts.
  • Ensure daily monitoring of inspections to manage standards in compliance.
  • Manages the Maintenance software (Dossier) for daily input of workorders, fuel, parts, trucks, permits, registrations, etc.
  • Will assist in IFTA and other governmental/municipal reporting.
  • Manages the Purchase Order system within Dossier for the company. Will enter and record orders from all JLT personnel and provide PO. Then complete PO process and forward it to AP.
  • Will manage daily receipt of parts and equipment and perform periodic inventory.
  • A typical schedule for this position is 6am3pm Monday-Friday and may require occasional Saturdays.
  • Other responsibilities not noted may be added to the position.

WORKING CONDITIONS AND PHYSICAL EFFORT:


  • Work environment is an office setting. Areas are clean, ventilated, and well lit.
  • Lifting small boxes, maneuvering through inventory, and organizing inventory as needed.
  • Long periods spent sitting, typing, or looking at a computer screen are common.

MINIMUM JOB REQUIREMENTS:


  • Excellent organization and communication skills.
  • This position requires significant data entry and system management.
  • This position requires the ability to read and comprehend technical manuals.
  • Ability to analyze and solve problems. Gather data, compile information, and prepare reports.
Bilingual _preferred._
