Full-time - Exempt

Salary Range:
$45,427 - $54,537 DOQ


This position is responsible for various administrative duties and requires the ability to assist the City Clerk with daily operations of the City Clerk's Office.

Performs a variety of advanced administrative duties for the City Clerk and City Council.

Handles Records Management and Document Imaging, as well as the archiving of records with historical value to ensure information is processed efficiently and effectively.

Assists the City Clerk in coordinating and implementing procedures to ensure information and records are provided at the lowest possible cost and the community is receiving the maximum level of service possible.

Manages and controls records organization, inactive records, and records retention. Provides expertise and input into other functional areas in which affect the recorded information of the City. Supervises all activities of the office in the absence of the City Clerk.

This position provides administrative support to the City Manager as well.

These functions include, but not limited to scheduling of meetings, facilitating work travel, research projects as assigned by the City Manager or City Clerk.


Essential Duties:


  • Functions as the City Clerk in the absence of the City Clerk.
  • Scans and/or imports all official city documents in to document imaging system, database or word processing software, and indexes for future search and retrieval.
  • Monitors and stays current with technology and practices as related to records management, document imaging and the City Clerk functions.
  • Assists the City Clerk and department liaisons with implementation of a records management system addressing inventory, retention, and destruction of City records that complies with State and Federal requirements.
  • Assists with training in Records Management, retention schedules, destruction policies, and document imaging, to City employees.
  • Processes and responds to public and interdepartmental inquiries or records requests.
  • Assists the Public Communications Officer with website administration for the City, maintaining and updating current activities.
  • Processes accounts payable and execution of contracts and agreements.
  • Aids and assists the City Clerk and City Council in official proceedings.
  • Assists with special projects assigned by the Clerk's Office to achieve the City's long and shortterm goals.
  • Clerks public meetings and hearings as needed, streams public meetings and hearings as needed.
  • Promptly notifies the City Clerk of any and all significant events.
  • Performs any other duties as assigned.

Qualifications

  • Associates degree in Business or Public Administration or related area.
  • Minimum of three (3) years' experience in progressively responsible related governmental/business administrative work. A comparable amount of training, education or experience can be substituted for the minimum qualifications.
  • Certification in Records Management and Certified Municipal Clerk certification preferred. Noncertified applicants must be willing to actively pursue certification of both.
  • Experience with data processing systems, records management, document imaging office automation, and organization.
  • State of Florida Notary Public Commission required within six months of employment.
  • Must be bondable.
  • Valid Florida Driver's License required at time of employment.
  • Must complete the required National Incident Management System (NIMS) training within 6 months of completion of probationary period.
