Job Objective:

The Project Coordinator is responsible for planning, supporting and coordinating project related activities for Information Technology. The Project Coordinator must rely on experience and judgment to plan and accomplish goals.


Duties and Responsibilities:


  • Participates in project meetings to ensure all meeting agenda topics are addressed, takes meeting minutes and action items during meetings and performs followup
  • Creates and distributes meeting agendas and other meeting content (e.g. presentations) to facility project meetings
  • Plans and Coordinates Vendor Demonstrations
  • Plans and Coordinates Reference Site Visits
  • Develops site visit objectives
  • Plans and Coordinates Project Kick-Offs
  • Develops and Reviews Kick-Off presentations with Project Managers
  • Plans and Coordinates Workgroup Sessions
  • Organizes workgroups to achieve specific project deliverables
  • Plans and Coordinates On/Off-Site Education for Projects
  • Reviews Education Prerequisites and ensures compliance
  • Plans and Coordinates Training Sessions
  • Develops and distributes training materials
  • Administers and records training evaluations
  • Plans and Coordinates Testing Activities
  • Facilitates testing plan execution and ensures outcomes are properly documented
  • Plans and Coordinates Activation Events
  • Facilitates activation plan execution and documents project related issues
  • Drafts project plans using Microsoft Project
  • Updates and monitors project task lists and project plans
  • Updates project plans with resource assignments and task progress
  • Updates project issue and risk matrixes
  • Responds to project issues and risks to mitigate impact to project
  • Tracks project deliverables and milestones
  • Escalates project issues and risks to Project Managers
  • Develops marketing and communication materials related to projects
  • Develops and distributes PowerPoint presentations and handouts for meetings and conference presentations
  • Acts as central project contact with all departments
  • Reviews processing of purchasing requests for the project to ensure that proper approvals are in place
  • Maintains knowledge of AVHD systems, policies and procedures as necessary to support various ITSG Projects
  • Provides support as specified by manager

Non-Essential Duties:


  • Other projects and duties as assigned
  • Schedules interviews and checks references
  • Manages some bookkeeping items

  • Windows XP, MS Office (Word, Excel, PowerPoint) proficiency, required
  • Microsoft Outlook meeting management proficiency, required
  • Excellent type written note taking ability wpm), required
  • Exceptional interpersonal, organizational and communication skills, integrity, respect for confidentiality, sound judgment and decision making skills
  • Strong written and oral communication skills

Education and Experience:


Education

  • High School Diploma required
  • Undergraduate degree an asset

Experience

  • Experience in a Project Coordinator role
  • Microsoft Project experience, preferred
  • Project coordination or related project discipline experience, preferred
  • Experience in a hospital or healthcare environment, preferred
