Let's explore the horizon together if you're ready to contribute to our vibrant tech communityTAYS is seeking an Administrative Assistant to provide administrative and operational support to the CEO and TAYS leadership team.

This role will coordinate and manage executive scheduling, prepare and organize important strategic materials, and plan and support leadership meetings and the preparation of the materials.


Must be local to the Baltimore area.

Duties/Responsibilities:


  • Assist the leadership team in achieving company objectives and ensuring smooth operations.
  • Manage both professional and personal schedules for the leadership team, handling tasks such as agendas, correspondence, client management, and logĂ­stical arrangements.
  • Refine internal processes to streamline support for the leadership team and coordinate resources effectively.
  • Serve as a liaison for internal and external communications, working on various projects and tasks.
  • Prioritize tasks, manage calendars, and ensure organizational goals are met while upholding best practices.
  • Coordinate intricate scheduling and information flow for senior leadership.
  • Arrange travel logistics for senior leadership, including accommodations, transportation, and meals.
  • Provide comprehensive administrative support including typing, dictation, spreadsheet management, faxing, and maintaining databases.
  • Handle incoming and outgoing mail, maintaining confidentiality at all times.
  • Facilitate team communication and organize internal and offsite events.
  • Prepare meeting agendas, record minutes, and distribute them promptly.
  • Manage office supplies and promotional items.
  • Adapt to changing priorities and ensure deadlines are met.
  • Perform other duties as assigned.

Required Knowledge, Skills, and Abilities:


  • Excellent written and verbal communication skills
  • Strong timemanagement skills and an ability to organize and coordinate multiple concurrent projects.
  • Proficiency with office productivity tools and an aptitude for learning new software and systems.
  • Flexible team player, willing to adapt to changes and unafraid of challenges.
  • Ability to maintain confidentiality of information related to the company and its employees.
  • Excellent attention to detail.
  • Ability to work independently.

Education and Experience:


  • Associate degree preferred.
  • Three (3) or more years of experience in an administrative role reporting directly to upper management or office management role.

Physical Requirements/Working Conditions:


  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
