Thriving Company Seeks Passionate Executive Assistant
Join our dynamic team and play a key role supporting our President & shaping PACE Supply's continued success Provide exceptional administrative & executive support, optimizing our President's effectiveness and overall operational efficiency.
Responsibilities:
- Manage the President's calendar, schedule appointments, coordinate meetings, and prepare meeting facilities.
- Conduct research and information gathering on behalf of the executive and prepare summaries and reports and correspondence.
- Uses discretion, judgment, and knowledge of the organization to facilitate the executive's activities and maintain confidentiality.
- Prepare materials and design slide decks for Executive Team meetings.
- Manage and schedule complex travel arrangements and itineraries.
- Anticipate the President's needs and proactively address them.
- Manage the President's contact database.
- Function as a primary point of contact between the President and internal/external stakeholders.
- Develops positive and strategic relationships at all levels of the organization.
- Maintain and organize confidential documents, records, and files.
- Arrange and coordinate executive meetings, conferences, and events.
- Prepare agendas, take meeting minutes, and ensure followup actions are completed.
- Collaborate with other departments to ensure smooth communication and execution.
- Manage the President's office, ensuring it is organized and wellmaintained.
- Order and manage office supplies.
- Manage travel and expenses; process all expenses and reimbursements; manage invoices and Purchase Orders.
- Oversee special projects as assigned by the President.
- Assist in various company projects, research, and strategic initiatives.
- Provide support in tracking project milestones and deadlines.
- Assist with project documentation and reporting.
Qualifications:
- High school diploma, GED, or equivalent work experience.
- Minimum 3 years (5 or more preferred) of experience supporting a company President.
- Strong project management and problemsolving skills with impeccable ability to manage multiple projects in a fastpaced and timesensitive environment.
- Exceptional customer service, administrative, and organizational skills.
- Excellent written and verbal communication skills.
- Intermediate Microsoft Office Software Proficiency (PowerPoint and Excel) with an ability to learn and use PACE specific programs and software.
- Travel coordination (multileg, international & domestic. Private and commercial).
- Event Management.
- Calendar Optimization.
- Expense Management.
- Critical Thinking, Efficient Data Organization.
- High-Level discretion, possess good judgment, and able to independently problem solve.

Physical Requirements:
- The employee is frequently required to stand, walk, reach with hands and arms, and talk or hear.
- Ability to lift items that weigh up to 15 lbs. regularly. This includes carrying, dragging, and walking with materials, as well as using a handtruck.
- Prolonged periods of standing or sitting at a desk and working on a computer.
- Specific vision abilities required for this job include distance vision, peripheral vision, and depth perception.
Environmental Conditions:
- The employee is frequently exposed to moving mechanical parts and outside weather conditions.
- Occasionally, the employee may be exposed to high, precarious places and vibration.
- The noise level in the work environment is usually moderate.
