Responsibilities:


  • Manage the President's calendar, schedule appointments, coordinate meetings, and prepare meeting facilities.
  • Conduct research and information gathering on behalf of the executive and prepare summaries and reports and correspondence.
  • Uses discretion, judgment, and knowledge of the organization to facilitate the executive's activities and maintain confidentiality.
  • Prepare materials and design slide decks for Executive Team meetings.
  • Manage and schedule complex travel arrangements and itineraries.
  • Anticipate the President's needs and proactively address them.
  • Manage the President's contact database.
  • Function as a primary point of contact between the President and internal/external stakeholders.
  • Develops positive and strategic relationships at all levels of the organization.
  • Maintain and organize confidential documents, records, and files.
  • Arrange and coordinate executive meetings, conferences, and events.
  • Prepare agendas, take meeting minutes, and ensure followup actions are completed.
  • Collaborate with other departments to ensure smooth communication and execution.
  • Manage the President's office, ensuring it is organized and wellmaintained.
  • Order and manage office supplies.
  • Manage travel and expenses; process all expenses and reimbursements; manage invoices and Purchase Orders.
  • Oversee special projects as assigned by the President.
  • Assist in various company projects, research, and strategic initiatives.
  • Provide support in tracking project milestones and deadlines.
  • Assist with project documentation and reporting.

Qualifications:

  • High school diploma, GED, or equivalent work experience.
  • Minimum 3 years (5 or more preferred) of experience supporting a company President.
  • Strong project management and problemsolving skills with impeccable ability to manage multiple projects in a fastpaced and timesensitive environment.
  • Exceptional customer service, administrative, and organizational skills.
  • Excellent written and verbal communication skills.
  • Intermediate Microsoft Office Software Proficiency (PowerPoint and Excel) with an ability to learn and use PACE specific programs and software.
  • Travel coordination (multileg, international & domestic. Private and commercial).
  • Event Management.
  • Calendar Optimization.
  • Expense Management.
  • Critical Thinking, Efficient Data Organization.
  • High-Level discretion, possess good judgment, and able to independently problem solve.

Physical Requirements:

  • The employee is frequently required to stand, walk, reach with hands and arms, and talk or hear.
  • Ability to lift items that weigh up to 15 lbs. regularly. This includes carrying, dragging, and walking with materials, as well as using a handtruck.
  • Prolonged periods of standing or sitting at a desk and working on a computer.
  • Specific vision abilities required for this job include distance vision, peripheral vision, and depth perception.

Environmental Conditions:

  • The employee is frequently exposed to moving mechanical parts and outside weather conditions.
  • Occasionally, the employee may be exposed to high, precarious places and vibration.
  • The noise level in the work environment is usually moderate.
