We seek a highly skilled and motivated Operations Assistant to join our team and lead our efforts in growing the company.


Position Overview:


As the Operations Assistant, you will be pivotal in driving the company's mission by collaborating with each business unit to develop and implement plans to improve the systems, processes, and personnel necessary to accommodate the company's rapid growth objectives.


Key Responsibilities but not limited to:

  • Provide EA Support to the Program Manager and complete various tasks as needed to ensure the efficient operation of the PM department.
  • Manage the department calendar and SharePoint site.
  • Manages all mail merge activities and shipments & produces all FedEx labels.
  • Assist with the onsite level purchases and department shipping.
  • Create and manage new project answering services.
  • Assist in ensuring all new project takeover tasks are completed.
  • Manage answering services for active PM sites.
  • Conduct a review of different reports and ensure the information is inputted in monthly reports.
  • Maintain PM Filing Systems.
  • Track all petty cash receipts for reimbursement.
  • Create & update newsletters and other print materials.
  • Daily correspondence for leasing inquiries and managing the Yardi queue cleansing
  • Travel as needed.
  • Attend all department meetings and take minutes as needed.
  • Assist in the approval process for onsite invoices and act as back up for Transmittals.
  • Update PM Manual as needed.

Qualifications:


  • Bachelor's degree (preferred).
  • Proven experience in administrative work and some leasing knowledge
  • Strong attention to detail
  • Exceptional writing and communication skills.
  • Detailoriented with excellent organizational and project management abilities.
  • Proficiency in Microsoft Office Suite and Yardi.

Pay:
$42, $45,000.00 per year
