Job Summary
The Administrative Assistant supports and assists general office activities and association projects with administrative tasks. Provides customer service support. Under moderate supervision, work may involve contact with Homeowners, Vendors and Board Members as well as onsite staff members.

Job Duties and Responsibilities
Duties and responsibilities include but are not limited to the following;

  • Organize and prepare correspondence relating to association business.
  • Reviews invoices for completeness/accuracy of charges and prepare payable vouchers for managers approval.
  • Completes Architecture Control Committee (ACC) requests project completion inspections
  • Assist homeowners with questions regarding the ACC Application process; reviews the ACC Application to make certain the package is complete before sending to the ACC Committee.
  • Prepare/process payment plans for homeowners.
  • Prepare/process workflows for homeowners (refunds, waivers, fines and/or other charges).
  • Updates Homeowner and Association information in C3 and shared files.
  • Process and distributes incoming and outgoing mail.
  • Prepares and assists manager with monthly board packages and mailings.
  • Prepares and assists manager with common area inspection report.
  • Inspecting property for maintenance, landscaping, safety, and compliance issues.
  • Updates homeowner and association information in C3 and shared files.
  • Alerts manager of low supplies and assists in supply stocking and distribution.
  • Processes print jobs, scanning and faxing as general office support.
  • Files association documents for manager. Arranges for delivery and pick up of documents from storage when necessary.
  • Notify responsible party of compliance issues and communicate concerns for inspections.
  • Assist with enforcement of deed restrictions to include investigating allegations of violation to determine validity of complaints and the appropriate course of action to mitigate issues, entering violations and taking photos, process/merge letters and coordinate distribution of mailing.
  • Provide troubleshooting and technical assistance to homeowners.
  • Responsible for regular contact with residents and guests using the clubhouse facilities.
  • Responsible for ensuring the cleanliness of the clubhouse facilities and notifies responsible party when necessary.

  • Other duties as assigned.
