General Description:


Under the direction of the Associate Director, provide receptionist support to the Refugee and Immigration Services, to act as receptionist to the community and clients of Lutheran Social Services of the Southwest by always presenting a professional demeanor and appearance; to perform a variety of clerical and administrative support duties; and to provide information and assistance to the public.

Maintain confidentiality in all aspects of the position.


Essential Duties and Responsibilities include the following:

  • Retrieve messages from phone system voice mail at the beginning of each day and throughout the day as needed. Switch phone system to night ring when leaving for the day.
  • 1 Answer phones, transfer calls appropriately using all options available to locate staff for caller, including the paging system.
  • 1 Provide basic information to callers or visitors on Lutheran Social Services of the Southwest programs.
  • 1 Greet clients and visitors professionally and courteously. Announce appointments to staff. Ask appointments to wait in reception area until staff is ready.
Maintain the general appearance of the waiting/reception area.

  • Support Resettlement Staff by compiling arrivals list and assurances list, opening new client files, data entry, and other program support tasks.
Perform typing/word processing to assist program staff.

  • Provide general office support such as filing, photocopying, faxing, etc.
Schedule staff appointments as requested.

Distribute mail and accept deliveries with notification of appropriate person.

All other duties as assigned.


Qualifications:

Education and Experience:

High school and a minimum of 2 years of experience or post-high school education/training.


Language Skills:

Ability to communicate clearly. Ability to listen and perceive need, working with people from diverse backgrounds non-judgmentally. Ability to effectively present and represent LSS-SW and
the Division's needs to religious and community groups as well as others in the social services community.


Mathematical Skills:

Ability to understand basic math and calculations.


Reasoning Abilities:

Ability to define problems, collect data, evaluate information, draw conclusions, and take appropriate action based on this information. Ability and confidence to make decisions when appropriate and when to solicit guidance.
