JOB SUMMARY

While students are in school, the 10-Month Secretary provides administrative and clerical support to the Principal and Assistant Principal, and collaborates with the 12-Month Secretary to the Principal, to contribute to the smooth and efficient operation of the main office in a manner that is professional, diplomatic and complies with confidentiality requirements.

Your scheduled work hours will follow student-attendance days, approximately mid-August through early-June, with a combination of full
- and half-days. Full-day hours are 8:00 AM - 4:30 PM, which includes eight (8) paid work hours and a half-hour unpaid lunch. Additional full-days, or extended half-days beyond the student day, to provide extra assistance for the opening/closing of school and/or in-services, must be arranged and approved by the Principal. While there are typically no pay periods July through August, you'll enjoy summers off to spend more time with your family. For a full school year, your bi-weekly pays will typically begin by mid
  • September and continue through late
  • June. The hourly pay will be around $16.60/hour.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Ensure the smooth and efficient operation of the office to include overseeing tasks and maintaining office materials, sort and distribute mail, and complete mailings as directed. Oversee the office when the principal(s) is at another building within the district.
  • Assist principal(s) with the creation and maintenance of a master schedule for students and teachers including student records and schedules, a course catalog and the master schedule. Maintain principal's outlook calendar and rooM/Facility usage.
  • Maintain building student activity accounts including making deposits, writing checks, developing financial reports for meetings and producing audit information.
  • Assist the Administration regarding free and reduced breakfast and lunch programs; provides account balances to parents.
  • Maintain student data to include bus changes and the intramural list of students by grade
  • Record staff attendance and reconcile in Frontline Absence Management system.
  • Manage faculty information folder and responsible for faculty mailings.
  • Maintain the student records and schedules database for grade reporting, verifying teachers' grades, making grade changes, processing quarterly report cards and interims, and preparing transcripts.
  • Prepare for school opening by compiling student packets, teacher folders, and all forms and pertinent information for the start of the school year. Prepare assignment letters, event certifications and new student ID badges, as needed
  • Schedule appointments for teacher observations and goal meetings for the Building Principal(s).
  • Maintain student records and files to include creating new student files, process student withdrawals, and maintain accuracy of student addresses, residency and contact information.
  • Perform clerical duties including but not limited to typing, preparing mail, scheduling appointments, maintaining files, responding to telephone calls and prioritizing messages, greeting and assisting visitors, teachers and students.
  • Produce flyers including lunch menus and other pertinent student/parent forms or announcement flyers.
  • Announce bus dismissals.
  • Perform other duties as assigned by the Building Principal(s).
  • Schedule and coordinate facility use for the building through the district facility scheduling software.
