We are a small electrical contractor seeking an Office Manager who is self-motivated, has

excellent organizational skills and a personable disposition to keep us

day-to-day routines. The office manager will provide

strong, reliable support for operations by creating procedures and communicating

effectively. This person will also help us achieve

organizational efficiency by nurturing a positive, inclusive work

environment.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Answer phone, process customer service
requests

  • Maintain company calendar, manage daily scheduling
for service technicians and dispatch

  • Collect payments, maintain invoices and
billing

  • Accounts payable; manage bill payments, write
checks from accounts to pay standard bills

  • Accounts receivable; record invoice
information into QuickBooks

  • General office administrative tasks; complete
assignments within tight and often difficult deadlines

  • File maintenance; properly maintain files, invoices
and customer paperwork

  • Oversee and maintain office equipment for
uninterrupted function, identify needs

Manage

vendor relationships

  • Order office supplies, anticipate needs, keep
stocked, coordinate food deliveries when requested

  • Manage social media pages
  • Occasionally run errands

REQUIRED

EXPERIENCE:


  • Office management Experience
  • Excellent Computer Skills
  • Strong organizational, time management and
people skills

  • Excellent communication skills, both speaking
and listening

  • Excellent customer service, listening to
their needs, working with a sense of urgency

  • High degree of flexibility and excellent multitasking
ability

  • Aptitude for learning new skills and systems
  • Ability to maintain a high degree of
discretion and confidentiality


PREFERRED

SKILLS AND QUALIFICATIONS

  • Excellent phone etiquette and charisma
  • Computer skills; Service Titan, Clock Shark,
MS Word and Excel, Quick Books online

  • Work well under pressure while maintaining a
high level of professionalism

  • Work well in a teambased environment under
mínimal supervision

  • Experience in developing internal systems
