Patient Financial Coordinator

  • Conveying personal warmth and creating a welcoming environment.
  • Adhere to Conceptions Florida Policies & Procedures.
  • Actively listening to patients to understand their concerns and desired goals.
  • Explaining what procedures Conceptions Florida offers and assist patients in achieving their
desired results.

  • Communicating with patients about the various procedures that Conceptions Florida offers.
  • Effectively listening and observing the interaction between the patient and the physician during
their consultation with the physician.

  • Reviewing the physician's recommendations with the patients.
  • Provide financial counseling to patients on all procedures offered by Conceptions Florida.
  • Collect all cycle deposits before the start of any treatment.
  • Responsible for collecting final payments from patients for all procedures including but not
limited to IUI, IVF, and egg preservation.

  • Review insurance information (verified by the insurance specialist) with the patients when
applicable for all services to be rendered by Conceptions Florida.

  • Schedule financial consultations with patients before starting any IUI/IVF procedures.
  • Work directly with each nurse coordinator to help provide treatment plans and cycle start dates.
  • Communicate with each nurse coordinator upon obtaining financial clearance for each case.
  • Check schedule daily for cycle starts in order to be available to collect the deposit.
  • Add clear and concise notes in our EMR system (EIVF) so that all Conceptions Florida team
members can assist as needed with each patient.

  • Request prior authorizations and make sure they're approved before all IUI, IVF or FET cycles start.
  • Inform management about any issues with patients' cycle collections.
  • Keep management and billing teams apprised of all cycle payments.
  • Responsible to help resolve any patients' billing inquiries and financial questions.
