About the role:Join our team as an Onboarding Specialist and be a pivotal part of creating exceptional experiences for our new hires. From pre-employment through onboarding, you'll ensure new hires experience a seamless transition into our organization. Your role involves coordinating interviews, guiding new hires through paperwork, playing a central role on their first day and providing overall support on their first day and beyond.
Reporting to the Director of Talent Acquisition, the Onboarding Specialist role requires in-office presence five days a week at our office in Somerset, NJ.
Responsibilities:
- Conduct preboarding activities for new hires, including scheduling, and coordinating orientation sessions.
- Facilitate the onboarding process by assisting new employees with paperwork completion, HRIS data entry, and ensuring compliance with company policies and procedures.
- Act as the primary point of contact for new hires, offering guidance and support.
- Conduct 30day checkins with new employees to gather feedback, address any concerns, and ensure a positive onboarding experience.
- Create and maintain I9 records, maintain notification reminders of expiration of work authorization and procure updated Form I9 documentation where required.
- Coordinate and review background checks for new hires, managing any flags and escalating when necessary.
- Serve as the main point of contact for new hires during the onboarding process, addressing any questions or concerns, and ensuring a welcoming environment.
- Collaborate with hiring managers, HR team members, and other stakeholders to ensure a smooth transition for new employees.
- Provides information needed during quarterly/yearly compliance audits.
- Assist in creating offer letters for new hires, promotions, and internal transfers at all levels of the organization.
- Identify opportunities to streamline processes and improve the efficiency of the preemployment and onboarding experience.
Qualifications:
- Bachelor's degree in Human Resources, Business Administration, or related field preferred.
- Previous experience in a similar role, with a strong understanding of preemployment and onboarding processes and best practices.
- Excellent interpersonal and communication skills, with the ability to engage effectively with individuals at all levels of the organization.
- Strong attention to detail and organizational skills, with the ability to manage multiple tasks simultaneously.
- A proactive and customerfocused approach to problemsolving and decisionmaking.
- Ability to maintain confidentiality and handle sensitive information with discretion.
