Position Overview:
Dobco is seeking a detail-oriented and motivated Construction Assistant Administrator to join our team in Wayne, NJ.

This position will provide critical administrative support to our Estimating Department, while also assisting purchasing and preconstruction efforts to ensure a smooth and organized bidding process.

The ideal candidate will play a key role in helping estimators stay organized, meet deadlines, and efficiently manage bid documentation and subcontractor communications.

This is an excellent opportunity for someone looking to grow within construction preconstruction and estimating operations.

Key Responsibilities:
Provide administrative support to the Estimating Department throughout the bidding process
Assist estimators with organizing bid documents, plans, specifications, and proposal packages
Prepare and distribute bid invitations to subcontractors and vendors
Solicit subcontractor proposals and follow up to ensure timely responses
Create and maintain spreadsheets to track bids, proposals, scopes, and project documentation
Prepare bid binders and assemble supporting documentation for submissions
Draft, issue, and track Requests for Information (RFIs) during preconstruction
Update and maintain the company's bid board with upcoming opportunities and deadlines
Assist purchasing by obtaining pricing, preparing purchase orders, and maintaining vendor records
Send bid reminders and maintain consistent communication with subcontractors
Provide general administrative support to ensure efficient flow of information between estimating, purchasing, and project management teams

Qualifications:
Prior administrative experience required; construction industry experience strongly preferred
Strong organizational skills and exceptional attention to detail
Proficiency in Microsoft Office (Excel, Word, Outlook)
Ability to manage multiple priorities and meet strict deadlines in a fast-paced environment
Strong communication skills and professional demeanor when interacting with subcontractors and vendors
