If so, the American Registry of Radiologic Technologists (ARRT) has a great opportunity We are looking for a skilled communicator with impeccable attention to detail to orchestrate a full range of events and planning responsibilities.

    The Meeting and Event Planning Manager plans, manages, and synchronizes essential details of meeting and employee events including Board of Trustee (BOT) meetings, industry professional conference meetings (State, National, and regional level), onsite volunteer committee meetings, and other ARRT events. The individual in this role coordinates and performs a full range of event responsibilities from start to finish.

    Duties and Responsibilities
    Board of Trustees Meetings and Events

    • Research, recommend, and present venue options to the BOT for future meetings.
    • Request and receive bids from vendors who will render services for the event such as arrangements for accommodations, transportation, meeting facilities, and food and beverage.
    • Perform the negotiation and execution of contracts and other legal documents associated with the event projects and provide oversight of the implementation of these policies, procedures, and documents in agreement with the Chief Credentialing Officer (CCO).
    • Act as a liaison between BOT and ARRT's travel agency for accommodations and transportation.
    • Provide BOT and executive staff with agendas for the event, such as information on activities and meals, dress code details, etc.
    • Conduct onsite review of event venue prior to arrival of BOT to confirm support services, staff and faculty, facility, audio/visual equipment, food and beverage services, and other desired attributes are in place.
    • Coordinate with hotel or other venue staff to assure proper implementation of hotel arrangements, verifying billing process for attendees, and rectify any problems.
    • Provide problem solving and troubleshooting of issues during or after the event.
    • Obtain and review bills from vendors and ensure approval and process for payment, maintain records for budgetary needs, and work with the executive team on future budgetary items.
    Industry Professional Events Attendees- State, National, or Regional Meetings and Conferences
    • Receive attendance requests for ARRT representatives for state, national or regional industry professional events such as meetings and conferences.
    • Create tracking method to maintain requests and attendance records for ARRT representation at industry events.
    • Collaborate with CCO on approvals and denials of requests and communicate decision with requestors.
    • Coordinate ARRT representative travel and accommodations to approved events.
    • Track a master schedule of BOT travel and possible participants as identified by the President of BOT.
    • Identify restaurants and arrange group dinners when requested by BOT or CCO.
    • Obtain and distribute meeting agenda to ARRT BOT or staff who are attending event.
    • Maintain schedule of meetings where BOT Trustee or staff will be in attendance.
    Volunteer Committee Onsite Events and Meeting Support
    • Arrangement of activities and food/beverage for all onsite activities for volunteer committee of Exam Requirements & psychometrics and Ethics & Compliance departments.
    • Monitor and maintain volunteer committee food and beverage requirements.
    • Arrange group dinners for all volunteer committee meetings including those in Exam Requirements & Psychometrics and Ethics & Compliance.
    • Submit volunteer committee travel and lodging requirements (along with updates) to established travel agency and hotel.
    • Prepare volunteer committee travel list (dates and times) and distribute accordingly.
    Employee Events
    • Plan, organize, and execute staff participation in Public Relations or recognition campaigns.
    • Plan, organize, and prepare budget for staff celebration events and activities.
    Miscellaneous
    • Monitor performance of travel agency and participate in selection of new agency.
    • Keep consistent communication with CCO to schedule and plan activities and approvals.
    • Maintain Meeting and Event Planning Manager procedures within the Credentialing Operations procedures manual.
    • Collaborate with internal and external customers.
    • Perform other duties as assigned or as necessary.
    Requirements

    Minimum Qualifications
    • Associate degree or equivalent experience
    • 5+ years' experience performing professional meeting and event planning including administrative responsibilities.
    Preferred Qualifications
    • Bachelor's degree or higher
    • Certification in event planning (CMP) or project management
    Skills and Abilities
    • Demonstrates high level of attention to detail.
    • Possesses extremely high level of ethics and confidentiality.
    • Proven success in collaborative and independent work environments.
    • Robust organizational, time management and prioritization skills- sets and follows priorities and timetables, recognizing the time and demand involved.
    • Able to meet deadlines in a fast-paced environment.
    • Strong interpersonal skills.
    • Ability to take direction and information from multiple sources.
    • Proactive approach to problem solving with strong decision making and judgment skills.
    • Excellent verbal and written professional communication skills.
    • Ability to travel based on business needs.
    • Utilizes Microsoft Office 365 including Outlook, Teams, Excel, and SharePoint, as well as related software applications at an intermediate level.
    • Strong project management skills with the ability to effectively manage many simultaneous projects, using systems to organize and keep track of large amounts of information.
