The Office Administrator is responsible for tasks including:
- Provide administrative support to Principals, Director of Operations, Project Managers, general staff, and other company Assistants as needed
- Provide backup for Receptionist duties
- Maintain favorable working relations with clients, subconsultants, vendors, contractors, and staff
- Prepare subconsultant agreements and purchase orders, issue for signature, collect and file
- Assist Director of Operations with daily tasks/duties
- Project contracts review and tracking
- Business insurance
- Individual and Corporate Licensing
- Payroll
- Strategic Planning Tasks
- Perform other tasks/projects as assigned
Required Qualifications:
- Excellent communication and interpersonal skills
- Excellent organization attention to detail
- Excellent time management skills with a proven ability to meet deadlines
- Ability to independently troubleshoot and solve problems
- Ability to reinforce company processes
- Ability to think strategically
- Ability to use discretion at all times to be a trustworthy keeper of confidential information
- Ability to prioritize tasks and to delegate them when appropriate.
- Ability to function well and maintain composure in a highpaced and at times stressful environment.
- Ability to adapt to changing demands and responsibilities
- Knowledge of, or willingness to learn, the forms and procedures of the engineering and construction industry based in the Construction Standards Institute (CSI), American Institute of Architects (AIA), and other industry standards
- Advanced use of Microsoft Outlook, Teams, Word, Excel, etc.
- Preferred experience with consulting engineer or architectural firms operating in the construction industry
- Five years or more of administrative experience
- Associates or Bachelors degree preferred, but not required
