- Invoice Processing and Matching: Match and enter all purchase order (PO) invoices from inventory and non-inventory vendors.
- Verify the accuracy of invoices and requests for payment, ensuring appropriate account classifications.
- Confirm receipt of goods or services and resolve any discrepancies related to prices, delivery, or quality.
- Accruals Management: Record accrued liabilities for invoices not yet received during the month-end close process.
- Collaborate with the accounting department to ensure accurate accruals for accounts payable.
- Accounts Payable Workflow and Integration: Utilize the Accounts Payable workflow tool in D365 to manage invoice approval and integration with the Company's ERP system.
- Communication and Vendor Relations: Maintain excellent communication with vendors and buyers regarding all PO-related issues to prevent supply constraints.
- Impute use tax as appropriate and communicate professionally with both internal and external stakeholders.
- Record Keeping and Reporting: Maintain accurate records and control reports, reviewing daily postings for completeness and accuracy.
- Review the Accounts Payable Aging report with the AP Manager on a weekly basis.
- Process Optimization and Special Projects: Monitor and analyze specific accounts payable operations, proposing process improvements for efficiency.
- Participate in special projects and assignments as needed, demonstrating flexibility and adaptability.
- Documentation and Compliance: Proactively document actions taken to resolve issues, facilitating easy follow-up for internal and external parties, including auditors.
- Proven experience in accounts payable and month-end closes.
- Strong communication skills, both written and verbal.
- Ability to resolve conflicts and discrepancies effectively.
- Proficiency in using Microsoft EXCEL and other software and tools for financial record-keeping.
