Summary:

HHMI is seeking a Legal Administrative Assistant for its Office of the General Counsel (OGC). The OGC partners closely with and provides advice and guidance to HHMI's leadership and programmatic and operational departments to support HHMI's mission, strategic initiatives, and operational goals. OGC lawyers find innovative solutions to our clients' needs and strive to provide the most efficient, practical, and timely advice possible. OGC's team of legal operations and administrative professionals supports those efforts and ensures the efficient functioning of the department for effective client services.

The Legal Administrative Assistant will provide administrative support in connection with the assignment and licensing of technology developed in HHMI laboratories located at thirdparty research institutions.

They will also support the review and processing of agreements relating to HHMI operations and research in accordance with established procedures and provide administrative and other support within the OGC as requested.


This position reports to the Director, Legal Operations and will be in person for 3 days at our Chevy Chase, MD headquarters.

  • Be responsible for the administrative processes associated with the assignment and licensing of technology developed in HHMI laboratories and for assigned agreements and other matters relating to HHMI operations and research in accordance with established procedures.
Create and maintain records, data, and other content relating to assigned agreements and matters in OGC databases on a timely basis, file correspondence and other documentation, and generally ensure that the information included in the databases is as complete and accurate as possible. Engage with HHMI operational and lab staff and research institution staff to collect missing data or documentation needed for agreement review or the assignment and licensing of technology. Work with other OGC staff as needed to ensure the integrity of data and content in OGC databases and that HHMI policies and procedures regarding assigned agreements and matters are followed consistently; streamline processes; and improve form templates and reporting where possible. Participate in group meetings as requested. Provide administrative and other assistance to OGC lawyers, as assigned, and within the OGC as requested. This may include scheduling meetings, making travel arrangements, generating reports, scanning, copying, printing, and running document comparisons. Provide backup administrative coverage for other OGC administrative staff. Assist on projects and initiatives as assigned

What you bring:
Bachelor's degree or an equivalent combination of education and related experience Three to five years of office administrative support experience; experience working in a corporate, nonprofit, or government legal department is a plus. Ability to adhere to the highest ethical standards and maintain confidentiality. Ability to work accurately, efficiently, and with strong attention to detail and followthrough.
