    Job Title: Office Assistant

    The Office Assistant plays a crucial role within the office staff, providing essential support to ensure smooth operations. Reporting directly to the Executive Director, this position involves a variety of responsibilities and tasks:

    • Maintain care plans using operational software.
    • Share client and caregiver information upon request.
    • Update and distribute client schedules based on weekly changes.
    • Email approved schedules to clients on a monthly basis.
    • Manage the timekeeping system, ensuring accuracy and addressing any discrepancies.
    • Assist in marketing efforts by distributing pamphlets and networking in the local community.
    • Create and organize assessment and new hire packets.
    • Process all required application paperwork and input data into operational software.
    • Track and analyze various metrics related to caregivers, clients, and overall business performance.
    • Schedule interviews for potential employees.
    • Ensure compliance with TB testing requirements for all staff.
    • Maintain both physical and electronic file systems in accordance with policies and regulations.
    • Handle incoming and outgoing mail, as well as general clerical tasks.
    • Provide support on project-based work and greet office visitors.
    • Foster positive relationships with clients and referral sources.
    • Monitor and restock office supplies as needed.
    • Uphold confidentiality of employee and client information.
    • Demonstrate reliability and professionalism in all duties.
    • Perform any other tasks assigned by the management team.
