Overview:


Premier America Credit Union is seeking an Administrative Assistant who will be responsible for providing administrative support to the Manager, Executive Support, CFO and CPO.

This includes calendaring, managing meeting documentation, and other administrative duties.

A key component of this role will be board committee administration, and project support of various executive and organizational initiatives, including event planning.

This role will report to the Manager, Executive Support and together, they will oversee day-to-day operations of the corporate office.


What You Will Do:


1.

In support of the Officers and other executives as needed:


  • Administrative support to the CFO and CPO
  • Responsible for daytoday communication between the Chiefs and team as needed, information preparation, data analysis, and representing the executive to others.
  • Assists the Chiefs in tracking progress in meeting deadlines for their Vice President's tasks and deliverables that are reported up to the CEO and the board of directors (i.e. KEPs, audits, board policy review, etc.)
  • Responsible for meeting administration. Prepares and distributes board presentation meeting packages for each Senior Leadership Team and Board meeting. Provides operational support to the board committees as needed (i.e. reports, minutes, electronic files, and database)
  • Manages complex and detailed calendars
  • Travel coordination and arrangements
  • Organizes and is responsible for event planning while managing a budget
  • Creates and reconciling expense reports on behalf of assigned leaders
  • Partners with the administrative coordinator group to deliver shared outcomes with the senior leadership team
  • Takes initiative in implementing and improving processes, including development and maintenance of procedures to be used by the administrative group.
  • Full comprehension of the company's and Chief's operations, procedures, and goals
  • Uses discretion, judgment, and knowledge of the organization to facilitate the executive's activities
  • Be highly proactive and take ownership to anticipate member and team member needs and adept at managing up and downstream to ensure deliverables are met timely and accurately
  • Fulfill vendor management database (Ncontracts) document requirements in a timely manner for Human Resources, Accounting & Finance Tier I & II Vendors.

In support of the Manager, Executive Support:


  • Effectively communicate progression of projects to C-Level executives, identifies potential delays and provide administrative assistance to meet deadlines.
  • Responsible for maintaining board documentation ensuring it is properly updated monthly
  • Assists in coordinating proper backup documentation for audits and regulatory examinations
  • Backup support of the administration of the board and committee documentation for the board/committee meetings
  • Escalates and keeps management informed of area activities and of any significant problems.
  • Responsible for formatting and proofreading
  • Assists in researching and recommending partnering vendors for events and activities
  • Assists in travel arrangement for the Official Family with a high level of attention to detail
  • Supports event planning and meeting conferences as needed.
  • Processing and directing mail and incoming packages in a timely and efficient manner

Additional Responsibilities:


  • Additional duties as assigned.
  • Ensures work area is clean, secure, and well maintained.
  • Adheres to attendance policy.
  • Available to work during the Credit Union's core business hours.

Requirements:


What We Are Looking For:


  • Bachelor's Degree is preferred, some college or an equivalent combination of experience and training is required.
  • A minimum of five (5) years of administrative responsibilities including supporting multiple C-Suite executives concurrently, as well as the Board of Directors.
  • Advanced Outlook calendar management is critical.
  • Expert proficiency with Word, PowerPoint, Excel and Visio is also required.
  • Proficient in expense report preparation and budget management
  • Strong attention to detail in proofreading, event planning, documentation, etc.
  • Strong organization, time management, project management, and problems
