Responsibilities:

Office Management
  • Coordination of office projects and upkeep of a corporate office space. Manage the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image. Conference room reservation, catering coordination and meeting coordination via, Zoom, WebEx etc. Responsible for the facilities daytoday operations (such as distributing building access keys and backup to security access cards, etc.). Supervise and support the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities. Purchasing office supplies, furniture, office equipment, etc., in accordance with company purchasing policies. Supervise the maintenance of office equipment, including copier, fax machine, etc.

Administrative Support

  • Provide ad hoc administrative support which includes but not limited to the creation, maintenance and editing of documents, spreadsheets, files, and presentations. Calendar management and coordination of meetings, including travel arrangements. Preparation and tracking of expense reports and reimbursements. Prioritize daily work, track progress of projects and deadlines, answer phones, take messages and schedule appointments. Assist the Business Management team as needed on recruiting efforts (i.e. screening resumes, scheduling interviews, field questions regarding process, etc.). Participate as needed in special departmental ad hoc projects.

Qualifications:


  • Bachelor's Degree required
  • 12 years of experience, preferably as a receptionist or administrative assistant in a corporate environment
  • Driven mentality with confident interpersonal skills to interact with stakeholders
  • Strong communication skills (both verbal and written) and executive presence
  • Exceptional organizational skills; ability to multitask with strong attention to detail
  • High degree of maturity, integrity and demonstrated leadership skills
  • Proactive, selfstarting team player who excels in a fastpaced, entrepreneurial, challenging work environment
  • Possess a high degree of proficiency with technology including MS Office products (Word, Excel, PowerPoint, Teams and Outlook) and Zoom/WebEx

Compensation:


For job postings in New York City, Oppenheimer is required by law to include a reasonable estimate of the salary range for this role.

This salary range is specific to the City of New York and takes into account the wide range of factors that are considered in making salary decisions including but not limited to your skills, qualifications, experience, licensure and certifications, and other business and organizational needs.

The current base salary offered for this role is $65,000.00 per year. Also, certain positions are eligible for additional forms of compensation such as discretionary bonus.
