Position Summary:

The Venue Sales & Assistant Coordinator helps to ensure that the Museum presents a top-level professional experience to all visitors and clients to sell and manage the event rental space(s) at the Museum of Ventura County.

In addition to selling the event venue(s), this person will assist in the management of Museum-sponsored events with the appropriate Museum staff.


Working Conditions:
Typical office environment to include: extended periods of working at a desk, including use of a computer. The position also will require travel to conferences, networking events and meetings. Many activities will be performed outside of regular business hours.

Reports to:
Events and Community Outreach Director

Supervises:
This position collaborates across departments and coordinates staffing needs in collaboration with visitor experience and facilities team.

This position does not have direct reports but may oversee the work of others as it relates to events in the course of their duties.

General Responsibilities

The Venue Sales & Events Coordinator has an important role in the successful functioning of the Museum. This position engages with the community to gain new business.

The position manages all outside rentals of facilities at two museum sites (the Ventura Museum and the Agricultural Museum in Santa Paula), including marketing the facilities, all administration (booking, scheduling, billing, etc.), and planning, implementing, and overseeing all logistics.

Additionally, this position collaborates with other departments to plan and execute a variety of Museum-sponsored events, at the direction of the Events and Community Outreach Director.

Representative Tasks & Major Responsibilities

  • Responsible for sales of the venue, meeting or exceeding the Museum's revenue goals.
  • Acquire and contract new and repeat business through inbound and outbound phone calls, web leads, and in person meetings.
  • Attend networking events, trade shows, and work with destination companies to develop a presence as a premier event location, while creating new business for the Museum.
  • Assist in the planning, development, and execution for all internal Museum events including fundraising events and exhibition openings, including acting as onsite day of lead for assigned events.
  • Maintain business contacts within the events industry to generate new business and sales.
  • Responsible for life cycle of outside rental events: Management of event from initial walkthrough with client, client meetings, contract negotiation, calendar upkeep, follow up with client after the event.
  • Responsible for assisting in vendor communication and planning on Museum sponsored events.
  • Direct and supervise staff and related volunteers in preparing during special events, loadin/setup, event execution, and loadout/breakdown.
  • Other duties as assigned.
Minimum Position Requirements (Knowledge, Skills, Abilities and Attitudes)

  • Minimum of three years of related experience with a combination of related education, training and handson experience.
  • Associate degree in communication, Hospitality, Business Administration, or similar or commensurate experience
  • Strong strategic, project and time management skills.
  • Proven ability to communicate.
  • Ability to develop and manage multiple complex projects within guidelines.
  • Collaborative style and proven success in problem solving.
  • Demonstrated ability to work well with diverse personalities and varying levels of knowledge/experience.
  • Ability to work weekends, holidays, and other overtime as necessary.
  • Genuine enthusiasm for the services and mission of the Museum of Ventura County.

Preferred (Knowledge, Skills, Abilities and Attitudes):

  • Experience in a nonprofit setting
  • Extensive customer service experience
  • Spanish language proficiency.
  • Social media experience.

Pay Range:
$61,000 - $65,000 annually

Partial employer paid health insurance

2 weeks vacation annually

7 days sick time accrual annually
