Job Description:

Summary:
The Project Coordinator (PC) will support the successful execution of a 4-year, $5.7M NSF ART Grant.

The PC will be responsible for maintaining a high level of quality support and overall project management for the ART team.

As part of this role, the PC will support research projects and support the coordination and management of all grant components.

The incumbent will be involved with but not limited to tasks such as ensuring compliance with NSF regulations, preparing reports, and engaging in effective communication with stakeholders.

They will manage the administrative and service functions in support of the project through a range of tasks.

Additionally, the PC will contribute to data management and evaluation efforts, foster collaborative teamwork, and assist with the facilitation of knowledge transfer through documentation and training initiatives.

The overarching objective is to help assist with the efficient and effective implementation of the NSF ART grant, helping to maximize its impact and ensure alignment with organizational goals.

Project Planning & Coordination):

  • Support the development and maintenance of a project plan, help outline milestones, deliverables, and timelines.
  • Coordinate with Co-PIs, collaborators, and stakeholders to ensure alignment with each of the project goals
  • Assist with the project plans and goals
  • Coordinate events; including booking rooms, drafting agendas and other event materials, assisting with speaker and audience outreach

Budget Support and Financial Oversight:

  • Assist the monitoring and management of the project budget, support NSF guideline adherence and grant specifications
  • Coordinate with OSARA and the unit finance and administrative teams to help track expenditures, assist in preparation of financial reports, and coordinate efforts to address budgetary concerns.
  • Aid in identifying and communicating potential budgetary risks

Team Leadership and Collaboration:

  • Coordinate crossfunctional project teams, helping to give direction and support (including but not limited to assisting with scheduling stakeholder/project meetings, coordinating checkins with each additional project team, etc)
  • Foster a collaborative working environment among the team members and stakeholders
  • Facilitate regular team meetings, including the coordination and running of the meetings, to ensure projects are moving along and goals are being met.

Grant Compliance and Reporting:

  • Assist with NSF compliance efforts.
  • Coordinate regular progress reports, documentation, and other required materials for NSF.
  • Coordinate audits and reviews, help to addressing any identified compliance issues promptly.

Communication and Stakeholder Engagement:

  • Coordinate communication channels with internal and external project stakeholders.
  • Provide regular updates on project progress, achievements, and challenges amongst the team
  • Address inquires and concerns in a timely and professional manner.

Evaluation:

  • Support the development and implementation of evaluation frameworks to assess project outcomes and impact.
  • Data analysis.
  • Utilize feedback mechanisms to coordinate continuous improvement with project processes and outputs.
  • Work collaboratively with the external evaluator and mentor.

6: Knowledge Transfer and Documentation:

  • Assist in the documentation of project methodologies, best practices, and lessons learned for knowledge transfer
  • Help maintain an organized and accessible repository of project documentation.

Position Type/Expected Hours of Work:

  • Fulltime, 35 hours/week.

Salary Range:

  • Commensurate with experience.

Required Education and Experience:

  • Bachelor's degree.
  • Or equivalent combination of education and experience. 13 years of relevant experience.

Preferred Education:

  • Master's degree or equivalent.

Preferred Experience:

  • 24 years of relevant experience.

Travel Required:
- ~5% (Rare).


Additional Eligibility Qualifications:

  • Proficient in Microsoft Word, Excel, and PowerPoint.
  • Good Communication Skills.
  • Ability to Work with Others.
  • Experience Working on a grant funded project preferred.
