The duties and responsibilities of the First Impressions Liaison includes serving as Receptionist/Concierge for the Sales Office, operating the telephone system, greeting visitors, business contacts, family members and team members, assisting the Sales Team with correspondence and other day-to-day office duties.

Essential Responsibilities

  • Greets visitors and answers and directs telephone calls to appropriate person in a timely, professional, and pleasant manner. Escorts visitors to hospitality room.
  • Ensures that Sales Department hospitality room is clean, safe, attractive, and wellstocked with beverages and other supplies; orders and maintains supplies for the hospitality room.
  • Receive and separate incoming mail for Admin Building.
  • Distribute incoming and outgoing mail for Admin Building.
  • Maintains inventory of collateral for distribution to prospects and ensures that adequate supplies of brochures, etc., are available for distribution to prospects.
  • Schedules package pickups at request of department team members.
  • Participates in Sales Team Daily Stand Ups and Weekly Meetings.
  • Maintains work area in clean, safe and attractive manner.
  • Maintains confidentiality of applicant/resident information as well as departmental information.
  • Proactive in networking with other departments, building trust and maintaining positive communications.

Required Knowledge, Skills and Abilities

  • Have strong organizational skills as well as the ability to followup, detailoriented, ability to multitask; prioritize projects and objectives while meeting deadlines.
  • Have proficient computer skills utilizing Microsoft Office, Excel, and Adobe
  • Have strong customer service skills.

Education and Experience

  • High School Diploma or equivalent
  • Have at least oneyear previous experience in a clerical or reception role
