Job Summary:


The
Patient Services Representative, PRN, will cross-train and provide a schedule of availability on a monthly basis for the following positions at our Arrington, Amherst, and Appomattox offices: Medical Front Office Clerk, Appointment Specialist, and Switchboard Operator.

The Patient Services Representative, PRN sets the tone for the patient experience and must be consistently polite, efficient, and patient-care centered in all interactions and communications.

Duties include but are not limited to performing medical office duties, monitoring the patient schedule, and receiving incoming telephone calls.

Must be able to communicate well with patients, their family members, and members of the staff and to handle confidential information tactfully and discreetly.

May be assigned to satellite locations and must demonstrate a sincere dedication and loyalty to the mission, vision, and core values of Blue Ridge Medical Center.


Essential Job Duties and Functions:


Medical Front Office Clerk

  • Sit at front desk and/or checkout for up to 3 hours without a break.
  • Check in/out patients in a timely fashion.
  • Schedule appointments and followup appointments based on center/provider protocols. Print payment receipts and medication lists.
  • Determine patient?s payment responsibility and collect fees.
  • Work closely with appointments team members for appropriate scheduling of patients assigned to the team.
  • Update and verify insurance information in the electronic health record system using Emdeon and other online resources.
  • Communicate with clarity and courtesy on telephone, in person and in written communications.
  • Operate computer database using two patient identifiers, to check in/out patients, register patients, record payments, lookup and update patient accounts, empanel patients, and other computer operations as necessary.
  • Answer telephone, assess caller need, take messages, and/or promptly transfer to appropriate staff.
  • Work closely with triage nurse to meet patient needs.
  • Play an active role in the training of new employees who are members of the particular call team and the patient services team in general.
  • Performs other necessary duties as assigned to meet the goal of providing quality health care service.

Appointment Specialist

  • Schedule appointments to meet patient needs following scheduling parameters set by the center and the specific provider.
  • Assess and address the needs of callers: schedule appointments, take messages/telephone encounters, and promptly dispatch calls to appropriate staff.
  • Make calls as needed to schedule/reschedule appointments
  • Work closely with nursing staff to triage patient needs and schedule appointments.
  • Communicate with noshow patients by phone or by mail as directed by provider and center policy.
  • Work closely with front office team members to share information and provide crosscoverage assuring that patient services responsibilities of the care team are carried out correctly and in a timely manner.
  • In the event of inclement weather or other threats to the center opening on schedule, the appointment specialist prints and takes home the schedule for the day(s) in question. Should the center not open the appointment specialist calls their assigned provider?s patients to cancel and/or reschedule appointments.
  • Play and active role in training new employees who are member of the care team or patient services team.
  • Communicate with clarity and courtesy on telephone, in person and in written communication.
  • Operate computer database to schedule appointments, lookup patient accounts, and other computer operates as necessary.
  • Empanel patients in the electronic medical record system
  • Assist coworkers with all front office and scheduling functions.
  • Performs other necessary duties as assigned to meet the goal of providing quality health care service.

Switchboard Operator

  • Operates telephone system properly and uses appropriate techniques to place, transfer and receive telephone calls.
  • Communicate with clarity and courtesy on telephone, in person and in written communication.
  • Operate computer database using two patient identifiers to lookup patient accounts, generate telephone encounters, update registration information, verify insurances and complete other computer operations as necessary.
  • Work closely with nursing staff to triage patient needs.
  • Keep confidential information learned in the course of daily work; comply with HIPAA regulations.
  • Play an active role in training new employees who are members of the care team or patient services team.
  • Contact call service and inform them of closing dates or emergency closings of BRMC.
  • Performs other necessary duties as assigned to meet the goal of providing quality health care service.
