  • Job Description:
  • Patient Care Associates/Front Office Receptionists are the first point of contact for Astera's Radiation Oncology Center. Staff are responsible to treat patients warmly and in an empathetical manner on the phone and welcome patients positively as they arrive for various types of appointments. Front desk staff manage incoming calls and messages and schedule all physician appointments including initial consultations. Staff verify demographical information, including review of insurance cards and assure all patients complete initial forms required. Staff prepare charts and collate all incoming records via fax, paper, and electronic media.

Essential Duties and Responsibilities:

  • Greets patients promptly in a friendly manner as they arrive at the department, que arrival into the EMR.
  • Assist patients with the completion of all necessary forms and documentation, review registration documents with all new patients, copy insurance and ID per protocol.
  • Answer and direct patient questions in an empathetic manner showing urgency.
  • Answers telephones efficiently, professionally, and pleasantly.
  • Triage calls to the correct person/location.
  • Build and maintain patient charts using the practice EMR system; create charts and work with referring physician office staff to assure all appropriate records received prior to visit.
  • Maintains physician schedules, assuring smooth operations.
  • Handle physician tasks (ranging from requesting reports, to placing phone calls).
  • Assists patient in ordering and scheduling lab and imaging ordered by our oncologists, obtain insurance authorization as needed.
  • Maintain and update patient demographics.
  • Inform financial counselor of any insurance changes.
  • Collect copays and process per protocol.
  • Maintains good relationships with referring physician offices and staff at hospitals where we practice.
  • Processes physician dictation for distribution
  • Works closely with answering service, distributing evening/weekend calls to appropriate offices.
  • Maintain daily operations of the front office by following standard policies and procedures.
  • Maintains composure in difficult situations and provides service recovery as needed utilizing customer service skills.
  • Possesses strong communication skills that lend to a teamoriented work environment.
  • Respects the dignity and confidentiality of patients.
  • Maintains a good attendance record and reports ontime for work.
  • Maintains a professional attitude and appearance.
  • Complies with clinic safety policy and procedures.
  • Attends staff meetings as scheduled.
  • Assists with the review and updating of front desk policy and procedures.
  • Assists with training and orientation of new employees as assigned.
  • Performs all other duties as assigned.

Qualifications:

  • High School Diploma; Minimum of fiveyear experience working in a medical office.
  • Knowledge of the use of the EMR, Mosaiq experience a plus.
  • Understanding of procedures required for efficient, prompt completion of all paperwork necessary for patients to receive services.
  • Ability to greet patients in a pleasant manner, accommodating patient needs with a patient, helpful attitude.
  • Ability to streamline office operations, multitasking and stress management skills are essential.
  • This is a parttime role ( up to 24 weekly hours (3 days per week).
