***The Executive Assistant will function under the direction of the Chief Executive Officer (CEO) to provide a high level confidential administrative support by conducting research, preparing statistical reports, managing the CEO's calendar, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings, virtual or in-person, and processing financial receipts. The Executive Assistant provides supervision to the NHBP Front Desk Receptionist position. The Executive Assistant will also assist with special projects. The Executive Assistant is knowledgeable of and complies with all applicable laws and regulations regarding confidentiality and HIPAA protections.


ESSENTIAL FUNCTIONS


The Nottawaseppi Huron Band of the Potawatomi reserves the right to change, amend, add, delete and otherwise assign any and all duties, responsibilities, and positions titles as it deems necessary to meet the needs of the government.

  • Provides extensive and advanced administrative support to the CEO.
  • Answers, responds and resolves matters in the absence of the CEO or refers callers to the appropriate members of the Leadership Team and or Government operations. Maintains the CEO's calendar/schedule, including daily planning and coordination of meetings/events etc.
  • Schedules Leadership meetings and other meetings as requested, prepares relevant materials, and compiles accurate meeting notes for distribution to participants.
  • Schedules and coordinates meetings as requested. Assists with planning as necessary which may include arranging food, transportation, venue, meeting packets, preparing training material, distribution etc.
  • Maintains a general understanding of all programs and resources within the NHBP Government and an understanding of programs and services.
  • Participates in meetings, planning, events and activities as requested, which may occur outside of normal business hours and/or offsite.
  • Compiles departmental Quarterly Reports as directed by the CEO.
  • Facilitates Leadership meetings in the absence of the CEO.
  • Organizes and maintains CEO's electronic and physical files.
  • Uses existing software and programs to compile data, review and generate reports, statistics, timelines, graphs, correspondence and presentations.
  • Generates professional correspondence, prepares and updates documents.
  • Maintains and procures office supplies, furniture, and equipment thru Purchasing while adhering to purchasing policies and budgetary restrictions.
  • Maintains a signature file for the CEO to ensure efficient processing of documents i.e. expense reports, Per Diem Requests etc.
  • Makes travel arrangements for the CEO as required.
  • Submits receipts, credit card statements and travel documents for processing and approval by CEO.
  • Receive and address building and office equipment maintenance concerns with facilities and/or I.T.
  • Researches and assists with special projects as required.
  • Supervises NHBP Front Desk Receptionist position and function to ensure professional and efficient firs
