    POSITION: HR Generalist / Payroll Specialist

    POSITION SUMMARY: The HR Generalist / Payroll Specialist shall report to the Vice-President of Mid-Rise and High-Rise Management and shall collaborate with the property management team and other Peak Property employees to prepare, review, upload, manage and provide reports, as needed, on compensation, benefits and employee reimbursements for the MR-HR staff. The HR Generalist / Payroll Specialist shall also promote, educate and oversee the company's personnel and daily operations of the human resource department, including the On/ Off Boarding of personnel while also providing support to the company's employees with human resource matters.

    ESSENTIAL DUTIES & RESPONSIBILITIES:

    Human Resources

    · Supports the VP of Property Management with employee relations and escalations (e.g., concerns, complaints).

    · Assists the VP of Property Management with write-ups, promotions and transfers.

    · Handles employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff.

    · Works with VP of Property Management in solving employee concerns as they arise.

    · Transfers/terminates Broker and Leasing Agent licenses and signs employees up for continuing education.

    · Handles exit interviews.

    · Promotes company, participates, and contributes and at times, takes on other assignments.

    · Plans, organizes, facilitates and orders supplies as needed for the employees.

    · Monitors employee referrals and payouts.

    · Assists with recruiting efforts as needed (e.g. interviews, paperwork).

    · Maintains compliance with federal, state, and local employment laws and regulations, and recommended best practices; reviews policies and practices to maintain compliance.

    · Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.

    · Maintains confidentiality protocols.

    · Ensures compliance with Peak Properties company policy, as well as federal and local regulations.

    · Assists with news letter communication

    · Attends Peak meetings and/or connect with other Peak employees to gain insights.

    · Workers Compensation Claims administration and follow up.

    · Exemplifies the desired culture and philosophies of the organization.

    · Performs other duties as assigned.

    Payroll Specialist

    · Assist the CPO in the timely completion of all tasks required in Bamboo for Annual Performance Reviews.

    · Supports the administrator for MR-HR BambooHR (HRIS Database).

    · Oversee, manage and reconcile all time off requests (e.g. PTO, PSL & Holidays) within Bamboo and ADP.

    · Review and ensure accuracy of all time cards in ADP for each payroll for all non-exempt and union employees.

    · Review time off requests for each payroll to ensure they are in alignment with corporate policy.

    · Input and process payroll in ADP.

    · Upload ADP payroll file on the Monday prior to payroll into Yardi (creating the payable), confirm accuracy and ensure timely reimbursement of same.

    · Ensure timely payment (and reimbursement) of payroll for MR-HR.

    · Ensure the accuracy and timely payment of union benefits and reporting to the local union office.

    · Ensure the timely reimbursement of union benefits from each property, as applicable.

    · Manage and oversee the expense reimbursement process (Expensify) and intercompany receivable of same in a timely manner.

    · Assist the benefit administrator, where and when needed, with benefits and open enrollment including the timely communication of same.

    · Be a resource for all benefit inquiries.

    · Administer all payroll changes and ensure that the completion of all tasks and paperwork have been authorized before making changes.

    · Administer and ensure full compliance with all corporate policies regarding payroll changes, including all required paperwork. Secure approvals of same as required.

    · Ensure all On/Off Boarding tasks are properly completed on a timely basis.

    · Provide education and training resources to the MR-HR team members and ensure compliance of same.

    Bookkeeping

    · Process vendor refunds and intercompany checks.

    · Process rent checks, credit card information, owner contributions/distributions and refunds and apply to the correct ledger.

    · Reverse NSF payments, re-apply payments, resolve errors and write-off balances.

    · Process and communicate correct allocation for checks from other companies (insurance, utilities, etc.).

    · Pay invoices, cut/mail checks to owner/vendors.

    · Void/Re-issue checks.

    General

    ● Attend Peak meetings and/or connect with other Peak employees to share best practices.

    ● Maintain scheduled office hours (including weekends where necessary), condition of office and that all responsibilities are handled professionally.

    ● Demonstrate leadership in attitude, communication skills, and appearance.

    ● Support the growth and development of team members, helping colleagues meet their professional goals.

    ● Utilize your entrepreneurial skills to network and build strong relationships, both internally and externally, with clients and the community.

    ● Assist in ad-hoc projects and activities where necessary and/or appropriate to foster growth and best practices of the business.

    ● Ability to take on special projects while continuing to perform management responsibilities.

    ● Additional duties as assigned by Management.

    Physical Requirements

    ● Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.

    TRAINING REQUIREMENTS: Ongoing professional development.

    Qualifications:

    • Bachelors degree in Human Resources, Business Administration, or related field preferred.

    · 3-5 years of HR experience preferred

    · Excellent Math Skills

    · Proficient in Yardi system

    · Knowledge of appropriate software including: Microsoft Word, Excel, Outlook, and Microsoft PowerPoint.

    · Ability to communicate information succinctly and anticipate and resolve issues/problems on a proactive basis.

    · Aptitude to be detail-oriented, yet flexible, in a dynamic environment with a focus on meeting deadlines.

    · Possess excellent collaborative skills to work in partnership with colleagues and across various departments.

    · Strong work ethic with the highest degree of honesty, integrity, and discretion.
