    General Position Summary:
    Provides administrative support services to the Service Group. Job assignments can vary depending on priorities that day.

    Position Requirements

    Essential Job Functions:

    • Enter work orders into Viewpoint (accounting/dispatch system)
    • Enter & Issue Purchase Orders into Viewpoint from PO Log
    • Backflow testing record keeping & updating City portals & gauge calibration
    • Help to maintain customer work order systems (Service Channel, Corrigo + others)
    • Provide daily back-up to Dispatch/Operations as well as cover full time when they are on PTO
    • Provide back-up to Agreement Coordinator with Maintenance Agreement updates
    • Provide back-up to generate invoices
    • Enter approved proposals from North Boundary and get set up in Viewpoint
    • Help agreement coordinator with material purchases
    • Perform credit card payments
    • Answer telephone and convey messages
    • Order technician Uniforms
    • Make phone calls to clients, vendors and subcontractors as needed.
    • Generate monthly past due invoice emails to customers
    • Generate and update Field On Call 6 month schedule and update answering service
    • Package and mail oil samples for testing
    • Regular attendance and promptness are considered part of each employee's essential job functions.

    Secondary Job Functions:

    • Set up new customers / sites in Viewpoint database
    • Update forms and lists as needed
    • Enter expense reports for Service Technicians
    • Document Service meetings and attendance
    • Assist in keeping Service Group office area orderly
    • Order office supplies as needed
    Skills Required to Perform the Essential Duties of the Job:


    • Proficiency with MS Outlook, Excel, Word, PPT, and Project.
    • Accuracy and efficiency with administrative and clerical procedures and best practices. including filing and records management systems.
    • Professionalism and efficiency communicating on the phone and taking messages.
    • Excellent organizational skills.
    • Ability to work effectively with a team as well as independently.
    • Ability to manage multiple interruptions and manage priorities.
    Education/ Experience Requirements Needed to Perform the Essential Duties of the Job:


    • AA or three (3) years customer service job experience (or equivalent) preferred.
    • Customer service experience required.
