The Investment Adviser Association (IAA), the leading association dedicated to advancing the interests of investment advisers, is seeking a full-time Coordinator, Operations & Meetings.


Founded in 1937 as the Investment Counsel Association of America, the Investment Adviser Association is a not-for-profit organization that has exclusively represented the interests of fiduciary investment adviser firms for more than eight decades — including playing a major role in the enactment of the Investment Advisers Act of 1940, the federal law regulating our industry.

IAA members range from global asset managers to the medium
- and small-sized firms that make up the majority of our industry. Together, the IAA's members manage more than $35 trillion in assets for a wide variety of clients, including individuals, trusts, investment companies, private funds, pension plans, state and local governments, endowments, foundations, and corporations.


Position Summary


The Operations Coordinator is responsible for working with other operations team colleagues related to association management software, accounting, and operations.

Along with other team members, this position also serves as a staff liaison for operation related matters. This position works closely with all members of operations team and reports to VP, Finance and Operations.


Detailed Responsibilities

Operations

  • Assist with maintaining and testing compliance with Standard Operating Procedures
  • Serve as a staff liaison with varied association operations questions
  • Serve as one of several employees to provide telephone coverage to main number
  • Manage meeting and office supplies including counts and reordering
  • Work on various office needs
  • Reach out to receive dues and nondues revenue

Association Management Software/CRM

  • Coordinate with team on the creation and management of event registration modules
  • Take registration related questions from members
  • Work with team to manage the membership renewal process, terminations and other processes
  • Analyze data and provide reports as requested
  • Review data for errors, inconsistencies and missing information; research data and make appropriate corrections or member outreach
  • Assist with other database needs

Bookkeeping

  • Process paid invoices
  • Process incoming checks to enter into QuickBooks Online
  • Create specialty invoices and distribute Assist with reconciliation processes

Requirements:


  • Proficiency with Office and other software (e.g., Outlook, Word, Excel, and Zoom)
  • Understanding of databases
  • Familiarity of associations and/or nonprofit organizations helpful; interest in learning
  • Work with QuickBooks Online or related software helpful
  • High degree of personal responsibility, discretion and detail
  • Enjoyment of working on varied projects and responsibilities

More Details

This position is designed as a part-time, professional, long-term opportunity with 20 hours a week. The position permits a flexible but consistent schedule during normal work hours from 9:00 am - 5:00 pm ET. The IAA currently offers a hybrid work arrangement with the office located on Connecticut Avenue NW in Washington, DC. For this position two partial or full days in the office each week are requested. Position includes 7 days of vacation per year.
