Position Summary:
The Finance & Administrative Assistant (the "Assistant") Construction Service will provide support for the Accounts Receivable, Accounts Payable and Payroll functions as well as general office and administrative matters.
The Assistant will report to the Manager - Finance & Administration (the "Manager"), while also supporting the Controller and General Manager for on-site administrative needs and other special projects.
The position requires strong communication and working relationships with all members of the Company.Essential Job Functions:
- Accounts Receivable:_
- Process tickets, checks, cash and credit cards, daily, from dispatch team.
- Process deposits from incoming customer payments, including checks and cash. Process credit card payments.
- Enter all AR receipts on the AR spreadsheet for Manager to post to corresponding accounts.
- Provide tickets & invoices to customers upon request.
- Accounts Payable:_
- Assist with the tracking and reconciliation of raw material and freight delivery slips against supplier invoices for accuracy.
- Assist in processing vendor invoices, including matching invoice with our Purchase Orders, as needed. Once checks are processed by the Manager, match corresponding check stubs with invoices and file accordingly.
- Work with internal team and vendors to resolve any barriers to timely vendor payments.
- Reconcile automatic toll transponder transactions monthly.
- Payroll Support:_
While payroll will primarily be the responsibility of the Manager - Finance & Accounting, the Assistant must be fully trained and capable of processing payroll when the Manager is unable to.
- Office Administration:_
- Answer and route all incoming telephone calls.
- Assist with the management and ordering of the company's office supplies and associated inventory.
- Responsible for the postage of incoming and outgoing mail.
- Complete any other special or administrative projects as assigned by the Manager, General Manager, or the Leadership team.
Experience/Qualifications:
- 1 to 3 years of accounting, finance, and administrative support.
- Excellent organizational and data entry skills, attention to detail and high degree of accuracy are essential.
- Proficiency with Microsoft Office products is required.
- Independent worker, with sound judgment, positive attitude, and initiative.
- Integrity, discretion, and respect for confidential information are essential.
- Ability to communicate clearly and effectively, both verbally and in writing.
Pay:
$ $28.00 per hour
