General Summary


The Administrative Assistant/Office Manager is the first point of contact in delivering the Absolutely Exceptional Experience to office employees, guests, and visitors by greeting and welcoming them upon arrival.

This role is a central point of contact for the office, responsible for providing administrative and client service support to both managers and work groups related to their respective roles and responsibilities, including documentation review, preparation of correspondence, and maintenance of schedules and appointments.


Primary Duties and Responsibilities

  • Deliver consistently exceptional support to internal and external customers as one of the Bank's main communications representatives, while maintaining a strong professional presence.
  • Provide phone coverage and take messages for managers and/or teams supported.
  • Act as liaison between customer and internal departments with clear and timely communication and expectations to each party to aid in achieving high customer satisfaction.
  • Provide clerical and technical support to the Team.
  • Maintain schedules and appointments.
  • Maintain and generate reports, as needed.
  • Partner with Marketing to maintain company social media platforms in compliance with Federal regulations and company policies.
  • Support loan operations to ensure accuracy calculations while identifying omissions and discrepancies.
  • Support loan operations process from prospective clients to closing follow up.
  • Cooperate with, participate in, and support the adherence to all internal policies, procedures, and practices in support of risk management and overall safety and soundness and the bank's compliance with all regulatory requirements, e.g.
  • Community Reinvestment Act (CRA), Bank Secrecy Act (BSA), Equal Credit Opportunity Act, etc.
  • Other duties as assigned.

Knowledge, Skills and Abilities

  • 24 years of prior work experience in a professional work environment desired; bank or mortgage loan office experience preferred.
  • Detail oriented with strong organizational skills
  • Computer proficiency and comfortable using technology
  • Proficient in multitasking in a teamoriented environment focused on the highest standards of client service
  • Professional interactions and demeanor

  • Excellent communication, interpersonal, teamwork and customer service

Physical Requirements

  • Manual dexterity for the functional operation of office equipment such as computers, calculators, etc.
  • Ability to see, hear, and speak.
  • Mobility sufficient to perform activities required of position, including travel to vendor or customer locations.
  • Ability to stand or sit for extended periods up to and including five to six hours per day.
  • Ability to lift up to 20 pounds.
